Office Administrator Support (Medical)

SUMMARY:
Our client, an established medical distribution company based in Durban North, is seeking an exceptional Office Administrator to provide hands-on administrative and operational support to the Management team across the Sales and Accounts departments.
 
This is an important support role within the business and would suit an individual who is highly organised,
proactive, reliable and solutions-driven, with the ability to think critically and take ownership of tasks.   
We are looking for someone who does not simply "tick boxes", but who takes pride in their work, anticipates what needs to be done, follows through on tasks and contributes towards an efficient and productive working
environment.

Minimum Requirements:

• Matric.
• Certificate, Diploma or Degree in Administration, Business Administration or a related field would be advantageous.
• Minimum 2 years' relevant administrative experience.
• Working knowledge of Sage Pastel.
• Intermediate Excel skills.
• Strong computer literacy.
• Excellent written and verbal communication skills.

• Managing and maintaining Excel databases, schedules and trackers.
• Capturing, sorting, analysing and evaluating data.
• Maintaining accurate, organised and up-to-date records.
• Filing and document control.
• Managing accommodation bookings and related administrative arrangements.
• Handling telephone queries, follow-ups and day-to-day administrative requirements.
• Providing general administrative and adhoc support to management and departments.
• Assisting management in maintaining an efficient workflow across departments.

• Liaising with Sales Representatives and following up on outstanding matters.
• Assisting with order verification and processing.
• Preparing picking slips and invoices.
• Preparing and processing quotations using Sage Pastel.
• Following up on orders, customer queries and outstanding information.
• Processing Waybill-related documentation, freight information.
• Providing administrative support to ensure a smooth and efficient sales process.
• Assisting with basic digital marketing. 

• Assisting with government-focused quotations and tender submissions.
• Monitoring tender portals and relevant government websites.
• Identifying potential quotation, tender and sales opportunities.
• Maintaining tender and quotation deadlines and ensuring timely follow-ups.
• Taking and distributing meeting minutes were required.
