WARRANTY ADMINISTRATOR (Workshop / Service Centre)

SUMMARY:
An opportunity for an experienced Warranty Administrator is required for permanent employment based in the Midvaal.

An opportunity for an experienced Warranty Administrator is required for permanent employment based in the Midvaal.

• This role requires a candidate with strong administrative and technical understanding of commercial vehicle warranty processes.
• The successful candidate will manage the end-to-end warranty claim lifecycle, ensure compliance with manufacturer standards, and work closely with the service and parts teams to maximise claim approvals and recovery.

DUTIES & RESPONSIBILITIES:

• Process, submit and follow up on all warranty claims for commercial vehicles and trucks in accordance with manufacturer guidelines
• Accurately capture and maintain warranty documentation, job cards, parts usage and supporting evidence
• Liaise with manufacturers, technical support teams and internal stakeholders on claim status, queries and approvals
• Verify that all warranty work meets manufacturer standards before submission
• Monitor outstanding claims, resolve rejections or queries promptly, and ensure timely payment recovery
• Maintain detailed records of warranty history, claim success rates and manufacturer correspondence
• Support the Service Advisors and workshop team with warranty-related technical and administrative queries
• Prepare warranty reports, statistics and reconciliation for management
• Ensure compliance with all brand-specific warranty policies and procedures
• Assist with continuous improvement of internal warranty processes and documentation standards
• Build and maintain effective working relationships with manufacturer warranty departments

EDUCATION, QUALIFICATION, EXPERIENCE & SKILLS:

• Grade 12 (Matric)
• Minimum 5 years’ proven experience as a Warranty Administrator (or similar) within a truck / heavy commercial vehicle (HMV), medium commercial vehicle (MMV) or light commercial vehicle (LMV) workshop / dealership environment (essential)
• Strong practical experience processing warranty claims for major / multi truck brands or similar highly advantageous
• Solid understanding of commercial vehicle servicing, diagnostics, parts and repair processes
• Excellent attention to detail, administrative and organisational skills
• Computer literacy with experience in dealership management systems / warranty portals advantageous
• Strong written and verbal communication skills
• Ability to work accurately under pressure and meet claim submission deadlines
• Traceable & contactable references
• Local residency or willing to relocate to Midvaal / surrounding Gauteng areas
