Bookkeeper

SUMMARY:
We are looking for a reliable, organised, and detail-oriented Bookkeeper to join a well-established company within the hospitality industry, based in Ferndale, Randburg. • Maintain accurate and up-to-date accounting records.
• Meet all internal reporting and submission deadlines.
• Ensure financial transactions are correctly captured and allocated.
• Investigate discrepancies promptly.
• Maintain proper supporting documentation.
• Protect the confidentiality of financial information.
• Escalate material discrepancies or irregularities to management.
• Work closely with management, operations, payroll, suppliers, customers and external accountants where required.
• Maintain a high level of accuracy and attention to detail.

• Grade 12
• Relevant Financial Certification (Diploma, Higher Certificate, Degree)
• 3-5 years of progressive experience.
• Proficiency in systems and software, with the ability to learn new technologies quickly.
• Attention to detail and accuracy in data entry.
• Ability to work well under pressure, multitask, and prioritise tasks effectively.
• Able to work independently and as a team to achieve deliverables.
• Problem solving.
• Must be fluent in both Afrikaans and English 
• Xero experience will be highly beneficial
• Hospitality industry experience will be beneficial but not essential. 

• Prepare and maintain monthly trial balances.
• Review general ledger balances for accuracy.
• Identify and investigate discrepancies and unusual balances.
• Ensure transactions are allocated to the correct accounts and cost centres.
• Assist with month-end and year-end accounting procedures.

• Perform daily, weekly and monthly bank reconciliations.
• Reconcile supplier, customer and other relevant control accounts.
• Investigate and resolve reconciling items.
• Ensure all outstanding transactions are followed up and cleared timeously.
• Maintain proper supporting documentation for reconciliations.

• Prepare VAT reports and supporting schedules.
• Assist with the preparation and submission of VAT returns.
• Reconcile VAT accounts before submission.
• Verify VAT input and output transactions.
• Ensure supporting documentation, including valid tax invoices, is maintained.
• Identify and correct VAT discrepancies.

• Identify incorrectly allocated payments and receipts.
• Investigate the reason for misallocations.
• Correct transactions and reallocate payments to the appropriate customer, supplier, account or cost centre.
• Maintain an audit trail of adjustments.
• Follow up on unidentified or suspense account transactions.

• Prepare monthly variance reports.
• Compare actual expenditure and income against budgets and prior periods.
• Investigate significant variances.
• Provide supporting explanations for variances to management.
• Assist management with identifying recurring financial discrepancies.

• Assist with regular stock takes.
• Reconcile physical stock quantities to accounting records.
• Capture and investigate stock variances.
• Prepare stock take variance reports.
• Identify discrepancies, shortages, overages and potential losses.
• Ensure stock adjustments are properly authorised and recorded.

• Capture invoices, credit notes, payments, receipts and other accounting transactions.
• Process supplier and customer transactions accurately.
• Allocate transactions to the correct general ledger accounts.
• Maintain accurate accounts payable and accounts receivable records.
• Ensure all transactions are supported by appropriate documentation.
• Capture transactions within required deadlines.

• Capture and process supplier invoices.
• Reconcile supplier statements.
• Follow up on outstanding supplier documentation.
• Assist with payment preparation and payment allocations.
• Investigate supplier account discrepancies.
• Maintain accurate supplier records.

• Capture customer invoices and receipts.
• Allocate customer payments correctly.
• Reconcile customer accounts.
• Follow up on outstanding balances.
• Assist with debtor ageing reports.
• Investigate unidentified receipts and payment discrepancies.

• Maintain accurate general ledger accounts.
• Process journals and authorised adjustments.
• Review ledger transactions for incorrect or unusual postings.
• Assist with month-end journal processing.
• Ensure supporting documentation is retained for all adjustments.

• Assist with monthly financial close.
• Prepare relevant accounting schedules and reconciliations.
• Ensure all required transactions are captured before month-end closure.
• Prepare reports required by management and external accountants.
• Assist with investigating outstanding balances and reconciling items.

• Maintain organised financial records.
• Ensure invoices, receipts, statements, reconciliations and other supporting documents are properly filed.
• Maintain electronic and physical accounting records where applicable.
• Ensure documents are readily available for audit and review purposes.

• Provide accounting records and supporting documentation for audits.
• Assist with audit queries and information requests.
• Ensure financial records comply with company procedures and applicable accounting requirements.
• Assist with maintaining an accurate audit trail.

• Prepare financial information and reports requested by management.
• Provide accurate supporting schedules.
• Assist management in identifying financial discrepancies.
• Escalate material errors, irregularities or unresolved accounting matters.

• Assist with budgeting and forecasting information.
• Assist with cash-flow reporting.
• Maintain suspense accounts and investigate outstanding items.
• Process authorised accounting journals.
• Assist with year-end accounting procedures.
• Perform other bookkeeping and accounting duties reasonably required by management.
