POSITION INFO:
Minimum requirements:

Matric is essential, with a tertiary qualification beneficial
Strong working proficiency in Excel (including pivot tables and lookups), Word and SharePoint
Proven administrative experience in a professional-services, legal or financial environment
Advantageous (not essential): experience in personal injury litigation or RAF matters
Fast, accurate typist
Maintain the book of matters: keep all records accurate, organised and up to date
Apply strong document management discipline — version control, naming conventions and structured filing
Produce basic reporting from the book (pivot tables, lookups) for management
Experience with CRM or case/matter management systems
Document management: version control, naming conventions, filing
Diary and calendar management across multiple stakeholders
Bilingual in Afrikaans and English — excellent spoken and written communication in both
Confident liaising with attorneys' firms at all levels; authoritative yet respectful tone
Follow-up persistence; accuracy; prioritisation; confidentiality and POPIA awareness; stakeholder management; process discipline
Independent and self-managing — organises their own priorities and workload without supervision
Consistent and accurate under deadline pressure — quality does not slip when volumes rise
A proactive problem-solver — flags issues before they escalate rather than waiting to be asked
Confident and appropriately authoritative — comfortable chasing attorneys and directors for updates, while remaining respectful in tone, verbally and in writing
Discreet — respects confidentiality and divisional boundaries, particularly as cross-divisional exposure grows
Structured and disciplined — naturally maintains order in records, filing and correspondence
