Receptionist / HR Administrator / Health & Safety Representative

POSITION INFO:

A well-established business in Durbanville is looking for a highly organised, hands-on and trustworthy Receptionist/ HR Administrator / Health & Safety Representative to join their team.

This is a varied and multifaceted positionthat will suit someone who enjoys being involved in different aspects of a business.

The successful candidate will provide direct administrative support to management, oversee HR administration for employees and take responsibility for health and safety compliance across the operation.

Personal Assistant & Administration

• Manage diaries, appointments and travel arrangements.

• Screen and respond to telephone calls, correspondence and enquiries.

• Prepare, format and proofread letters, reports, contracts and business documents.

• Arrange meetings, prepare agendas, take minutes and follow up on action points.

• Maintain accurate electronic and paper filing systems.

• Liaise with suppliers, service providers, consultants and visitors.

• Assist with ordering office and administrative supplies and petty cash.

• Provide general administrative support to management.

HR Administration

• Maintain accurate and confidential employee records and personnel files.

• Assist with employment contracts, appointment letters, warnings and termination documentation.

• Coordinate employee onboarding, induction and safety orientation.

• Maintain attendance, leave and overtime records and liaise with payroll.

• Assist management with disciplinary and grievance procedures.

• Ensure compliance with applicable South African labour legislation and agricultural sector requirements.

• Coordinate training, skills development and Employment Equity reporting where applicable.

• Handle employee queries professionally, fairly and confidentially.

Health & Safety

• Act as the appointed Health & Safety Representative.

• Conduct regular workplace inspections and identify potential hazards.

• Maintain health and safety files, risk assessments and SOPs.

• Investigate and document incidents, accidents and near-misses.

• Assist with COIDA claims and incident reporting.

• Coordinate PPE requirements and health & safety training.

• Monitor compliance relating to machinery, tractors, chemicals and hazardous substances.

• Maintain fire, emergency evacuation and first-aid arrangements.

• Coordinate health & safety committee meetings and report findings to management.

Minimum Requirements

• Matric / Grade 12 – essential

• Minimum 5 years' experience in a Personal Assistant, Office Administration or HR Administration role.

• Previous exposure to an agricultural, farming or rural environmentwill be highly advantageous.

• Working knowledge of basic Health & Safety principles and South African labour legislation.

• Relevant qualification in HR, Office Administration or Occupational Health & Safety will be advantageous.

• Health & Safety Representative certification, or willingness to obtain this within the first three months.

• Valid driver's licence and own reliable transport.

• Fluent Afrikaans – essential.

• Proficient in Microsoft Word, Excel and Outlook.

• Must be comfortable working both in an office environment and outdoors/on-site.

• Must be willing to travel between farm sites and occasionally be available outside normal working hours for emergencies.

• Successful candidate will be required to undergo background and reference checks.
