Office Administrator

SUMMARY:
A luxury game lodge in Hoedspruit, Limpopo is seeking a highly organised, reliable and detail-oriented Office Administrator to join their team.
This is a live-out position, the successful candidate will provide strong administrative and financial support to the lodge, working closely with Lodge Management, suppliers and the Back of House (BOH) team.
The ideal candidate will be organised, financially astute, computer literate and able to work independently while ensuring that the day-to-day administration of the lodge runs efficiently.

REQUIREMENTS:

• Previous experience in an Office Administrator, Lodge Administrator, Hospitality Administrator, Accounts Administrator or similar position
• Previous experience within a luxury lodge, game lodge, hotel or similar hospitality environment advantageous
• Strong administrative and organisational skills
• Excellent attention to detail and accuracy
• Strong computer literacy, particularly Microsoft Word and Excel
• Experience with financial administration, invoices, statements, payments and reconciliations
• Ability to maintain accurate records, filing systems and administrative documentation
• Experience dealing with suppliers and service providers
• Good communication and interpersonal skills
• Professional telephone and email etiquette
• Ability to work independently and take responsibility for tasks and deadlines
• Reliable, trustworthy and able to handle confidential information
• Ability to multitask and prioritise in a busy hospitality environment
• Strong numerical and administrative ability
• Experience with hospitality or accounting systems advantageous
• Own reliable transport essential
• Preference will be given to candidates residing in Hoedspruit

• Manage the day-to-day administration of the lodge office
• Provide administrative support to Lodge Management
• Process and maintain supplier invoices, statements and supporting documentation
• Assist with accounts payable and general financial administration
• Capture invoices and maintain accurate financial records
• Assist with supplier reconciliations and follow up on outstanding documentation
• Liaise with suppliers and service providers regarding orders, invoices and account queries
• Maintain accurate filing systems and administrative records
• Assist with purchase orders, procurement and general purchasing administration
• Monitor and maintain office supplies and administrative requirements
• Assist with stock administration and record keeping where required
• Prepare and maintain spreadsheets, reports, schedules and other management information
• Assist with banking, payments and other financial administration as required
• Ensure all documentation is captured accurately and submitted within required timeframes
• Assist Management with general correspondence, emails and communication
• Maintain confidential staff, supplier and business information
• Assist with month-end administration and preparation of information for management/accounting purposes
• Follow up on outstanding invoices, statements, payments and administrative matters
• Ensure the office remains organised, efficient and up to date
• Work closely with Lodge Management and the BOH team to ensure smooth administration and operational support
• Identify administrative issues and follow through until resolved
• Provide general administrative assistance across the lodge as required

• R15,000 CTC per month
• Live-out position
• Own accommodation in Hoedspruit required/preferred
• Weekday office hours
