Warehouse/Administration Assistant

POSITION INFO:

Responsible for overall data and product administration. Th purpose of the role is to supply a service through the co-ordination of all administrative functions of the branch. Accountable for all documentation relating to goods received, issued, reports, queries and management reporting of the functions of admin

Duties and responsibilities - KPA

 Data / Computer Management / Administration

        Capturing all data on the system daily or manually if there is a computer problem

• Ensuring that no unauthorised persons have access to computer system or data stored.
• Daily Operational Dashboard is captured accurately and timeously
• Ensuring sufficient stocks of paper, labels etc. are available
• Ensure Receiving and Issuing packs contain all required documents as per company requirements and legislative requirements
• Appropriate Filing of all documents to ensure easy retrieval 
• Management of outside Document Storage
• Responsible for confidentiality of all customer products on the system.
• Requested Customer reports are submitted weekly
• Claims are investigated and closed off within required time limit
• ERP and WMS Super User

 Operations

        Management of inbound and outbound booking confirmations

• Ensure that the terms of the agreement with the agent are adhered to
• Co-ordinate and liaise client communications with Operational team
• Ensure PODs are up to date and closed withing required time limit
• Actively manage Operational Dashboard by coordinating with Operational team
• Key link between Client and Operational Team

 Receipt and Issuing of Product

• Liaise daily with customers to determine movement of product.
• Check all incoming documents against seal numbers.
• Comparing content of loads as per load sheet against receipt note.
• Allocating and handing out pallet stickers for every pallet stored.
• Generating receipt note emailing to customer.
• Ensure closure of GIs and GRs per shift

 State Vet

         Inform State Vet of receipt of any un-inspected loads / containers.

• Assist State Vet to obtain necessary samples
• Informing customers of State Vet inspection
• Ensuing that no product not cleared by State Vet is issued from Sequence Logistics.

        Skills Required

        Grade 12.

• Minimum 3-5 years’ experience similar role.
• Numerate and analytical ability.
• Strong Focus and Attention to detail.
• Computer Literacy (MS Office).
• Good Communication skills.
• Work under pressure.
• Self-motivated.
• Knowledge and experience of Management Systems, ERP and WMS i.e. Accellos/GP
• Knowledge of Food Safety Certification/ E.g. FSSC 220000
• Knowledge of  State Vet ZA, NRCS and PPCEB Requirements
