TEMP ADMINISTRATIVE ASSISTANT

SUMMARY:
Manage and maintain accurate client information and communication records.

POSITION INFO:

A leading company in Financial Services is looking for a Administratoin Assistant to join their team.

Your:

Formal Education

• Matric (Grade 12)
• 2-5 years’ experience in the administrative environment
• Diploma in Administration (advantageous)

Experience:

• Experience in a financial services or investment-related administrative environment.

Language Requirements:

• Fluent in English (written and verbal)
• Functional understanding of Afrikaans (optional)

Duties:
People

• Proactively manage client and advisor communication and queries.
• Process client and advisor requests.
• Interact with clients, staff, and other stakeholders.
• Regular interaction with clients, fellow employees, business management and LISPs to ensure the effective delivery of communication and administrative requirements.

Procedures

• Load new clients in the CRM systems (Wealth Connect & Opus).
• Collect mandate and documentation.
• Follow up on queries, outstanding information and incomplete documentation.
• Client service-related duties.
• Scan and digitise original documents to ensure all client records are accurately captured, securely stored, and easily accessible in electronic format.
• Assist teammates with administration issues.
• Update and maintain the database.
• Identify inactive investments.
• Monitor client folders on the CRM system.
• Perform general duties to include, but not limited to, copying, mailing, and filing of organizational documents and records.
• Open, sort and distribute incoming correspondence and email.
• Answer all incoming calls promptly and politely; assess caller’s requirements; transfer calls; take messages; deliver messages to the relevant staff member timeously.
• Linking of Advisors.
• Prepare quotations on a platform.
• Assist advisors with mandates and general administration.

Processes

• Follow internal procedures as per the administrative procedure guideline.
• All administrative duties must be executed within turnaround times.
• Ensure that the principles of FAIS and FICA are applied.

Technology

• Use the CRM systems.
• Use the platform portals
• Full working knowledge of Microsoft Office, including Word and Excel.
