We are seeking an experienced Procurement Administrator to join a dynamic team in Durban. In this role, you will be the gears behind the scenes—managing procurement functions, streamlining inventory control, and driving supplier negotiations. Key Performance Areas

1. Supplier Sourcing & Relationship Management

• Identify, establish, and maintain strong relationships with vendors for consumables.
• Negotiate pricing, payment terms, and contracts to secure the best deals; actively monitor suppliers for special offers.
• Evaluate supplier performance based on quality, reliability, and regulatory compliance.
• Source new products and suppliers for buyout items based on external and internal client requests.
• Stay ahead of market trends and competitor pricing to ensure purchasing remains competitive.

2. Purchasing, Ordering & Finance Alignment

• Place accurate orders for consumables based on demand forecasts and current stock levels.
• Track and monitor orders to ensure timely delivery and minimize disruptions to warehouse operations.
• Manage the full PO lifecycle: review, update, or cancel purchase orders as required.
• Receipt stock into the ERP system.
• Match POs, delivery notes, GRNs, and invoices perfectly before submitting them to the creditors department for payment processing.

3. Inventory Control & Planning

• Collaborate with warehouse and inventory teams to maintain optimal stock levels.
• Ensure consumable products are stored according to safety standards and proper inventory management practices.
• Monitor stock rotation and keep a sharp eye on expiry dates.
• Work closely with internal teams (production/operations) to forecast demand for chemicals and other materials, developing robust long-term supply plans.

4. Cost Control & Reporting

• Monitor procurement expenditures and strictly maintain spending within budget guidelines.
• Actively look for cost-saving opportunities and implement strategies to reduce overall procurement costs without compromising quality.
• Maintain accurate records of all procurement transactions and provide regular reports on activities, supplier performance, and inventory levels to management.

What We Are Looking For

Qualifications & Experience:

• Education: Grade 12 + a Diploma or Degree in Procurement or Supply Chain Management.
• Experience: 3–5 years of proven experience in procurement, supply chain, or inventory management.
• Industry: Experience working within a manufacturing or distribution environment is highly advantageous.
• Licensing: Valid Driver’s License is essential.

Computer Literacy:

• Proficiency in an ERP system (Experience with Syspro is highly advantageous).
• Intermediate knowledge of MS Office packages (Excel, Word, Outlook, etc.).
