Personal Assistant to Financial Advisor

POSITION INFO:

A Personal Assistant (PA) to a financial advisor manages administrative workflows, coordinates client onboarding, prepares review meeting materials, and maintains CRM records. The role ensures absolute accuracy and confidentiality while acting as a primary point of contact between the practice, clients, and product providers.

Key Responsibilities

Client Services & Onboarding

Act as a main contact for client inquiries and routine follow-ups.

Gather and check client data, fact-find sheets, and new business forms.

Complete FICA, AML, and compliance verification checks.

Submit investment, risk, or insurance applications to product providers and track underwriting progress.

Diary & Meeting Preparation

Manage the advisor’s calendar, schedule appointments, and coordinate review meetings.

Prepare client portfolio reports, statements, and meeting presentation packets.

Record meeting notes and action items, updating internal database records promptly.

Office Operations & Compliance

Maintain electronic filing systems and secure client record storage.

Track commission statements, fee income, and resolve billing queries with providers.

Assist with marketing campaigns, client communication, and event coordination.

Job Requirements

Education: National Senior Certificate / Matric; a secretarial or business administration diploma is an advantage.

Experience: 5 - 10 years of administrative or PA experience, ideally within wealth management, insurance, or financial services.

Skills: Proficient in Microsoft Office Suite, strong data-capturing accuracy, and familiarity with industry CRM tools or platforms

Competencies: High discretion with confidential data, structured time-management, and clear verbal communication.
