JOB DESCRIPTION:

Opportunity exists for a Senior Office administrator .

Stable and innovative company in Rondebosch CPT seeks your sound experience to take charge of the administration of the office tasks including in the areas of stock, procurement and invoicing

An administrative supervisory co-ordination job, that is concerned with the business unit’s administrative functions in all areas of the business

Qualifications

  • Grade 12

Experience

  • At Least 2 years related experience.
  • Experience in managing staff
  • Experience in front-office duties
  • Manage and knowledge of general administration tasks in the areas of stock, procurement and invoicing
  • Knowledge of contract management
  • Knowledge and competence in Excel spreadsheets and Microsoft Word
  • Ability to work with people
  • Good organisational and planning skills
  • Experience with procurement processes

Responsibilities -Including but not limited to the following:

  • Complete all requisitions for approval as and when required and then send off to Procurement.
  • Follow up with Procurement weekly on all outstanding requisitions and send a weekly schedule to all managers.
  • Ensure that delivery takes place per all Purchase Orders
  • Ensure that operational contracts received are signed by the appropriate signatories and filed correctly and then entered on a schedule.
  • Monitor the expiry of all 3rd party service contracts and ensure timeous renewal where appropriate.
  • Send out updated contract list monthly to Compliance Manager.
  • Configuration management of the PGS system.
  • Assist with adhoc admin duties when required.
  • Co-ordination of all Refreshments monthly for the office.
  • Configure physical building access/supervise the configuration of access.
  • Supervision of the Receptionist and the Reception function.
  • Supervision of the front-office and meeting rooms.
  • Supervision of the external cleaning staff.
  • Supervision of building maintenance issues and co-ordination of repair work.
  • Co-ordination of stationery orders (including toners).
  • Ensure that change control evidence is provided for all approved Change Requests.
