Job Purpose

The HR Administrator provides comprehensive administrative support to the Human Resources department and assists with the effective delivery of HR processes and services. The role is responsible for maintaining accurate employee records, supporting recruitment and on-boarding, administering HR documentation, assisting with payroll inputs, and ensuring compliance with company policies and applicable employment legislation.

Key Responsibilities

HR Administration

• Maintain accurate and up-to-date employee personnel files and HR records.

• Prepare and maintain employment contracts, letters, forms, and other HR documentation.

• Manage employee information on HR systems and ensure data accuracy.

• Assist with leave, attendance, and employee record administration.

• Prepare HR reports, statistics, and documentation as required.

• Ensure HR records are handled confidentially and securely.

• Respond to routine employee HR queries and escalate complex matters to the appropriate HR team member.

Recruitment & Onboarding

• Assist with the recruitment and selection process, including posting vacancies and coordinating interviews.

• Screen applications and arrange interviews with hiring managers.

• Prepare employment offers and on-boarding documentation.

• Coordinate pre-employment checks and required documentation.

• Facilitate new employee on-boarding and ensure all required paperwork is completed.

• Maintain accurate recruitment records and candidate information.

Payroll & Benefits Administration

• Provide accurate and timely payroll inputs relating to new hires, terminations, leave, overtime, and employee changes.

• Assist with the administration of employee benefits.

• Liaise with payroll and relevant service providers when required.

• Assist with resolving payroll-related employee queries.

Employee Relations & HR Support

• Assist HR management with employee relations administration and documentation.

• Support disciplinary, grievance, and performance management processes as required.

• Prepare meeting documentation and maintain confidential records.

• Assist with employee engagement initiatives and HR projects.

Compliance & Policies

• Support compliance with company HR policies and applicable employment legislation.

• Maintain accurate statutory and HR-related documentation.

• Assist with audits and HR compliance reviews.

• Ensure HR processes are consistently applied across the organisation.

Requirements

Education

• Diploma or degree in Human Resources Management, Business Administration, or a related field.

• Additional HR certification or qualification is advantageous.

Experience

• 2--3 years' experience in an HR administration or HR support role.

• Experience with HR information systems and Microsoft Office.

• Experience in recruitment, onboarding, employee records, and payroll administration is advantageous.
