Payroll & HR Administrator

SUMMARY:
Our well-established client in Wynberg is looking for an experienced Payroll & HR Administrator to join its Human Resources and Payroll Department.

This is a hands-on role with a strong focus on payroll processing and HR administration. The successful candidate will be responsible for processing both weekly and monthly payrolls on Sage 300 Payroll, while providing general HR and administrative support to the department.

Although this is the junior position within the departmental structure, this is not an entry-level role. The successful candidate must have at least 5 years' practical payroll experience, be confident working independently and be able to take ownership of their responsibilities with limited supervision.
The ideal candidate will be reliable, accurate and professional, with a strong work ethic and the ability to follow established processes while also using initiative, identifying problems and suggesting practical solutions.

POSITION INFO:
Key Responsibilities
Payroll & Sage 300 Payroll

• Process accurate weekly and monthly payrolls on Sage 300 Payroll
• Capture and maintain employee payroll information
• Process new employees, terminations, salary changes, promotions and transfers
• Process overtime, allowances, deductions, commissions and other payroll adjustments
• Process statutory deductions and payroll requirements
• Conduct payroll checks, reconciliations and variance investigations
• Identify and resolve payroll discrepancies and queries
• Prepare payroll reports and information as required
• Maintain accurate and confidential payroll records and supporting documentation
• Assist with payroll year-end requirements

• Manage and maintain time and attendance information
• Monitor attendance, absenteeism and leave records
• Review attendance information before payroll processing
• Calculate and prepare overtime information
• Follow up on missing or incorrect information with relevant managers
• Ensure payroll information is received within required deadlines

• Prepare and maintain employment contracts, appointment letters and HR documentation
• Maintain accurate electronic and physical employee files
• Assist with employee onboarding and offboarding
• Process employee changes, including promotions, transfers, terminations and personal information updates
• Assist with leave administration and employee queries
• Provide general HR administrative support to the Group HR Manager
• Assist with HR projects and other departmental requirements

• Take ownership of allocated tasks and ensure they are completed accurately and on time
• Assist with payroll preparation, checking and audits
• Prepare reports and information when required
• Assist with ad hoc HR and payroll projects
• Provide additional support during busy payroll periods
• Identify administrative inefficiencies and suggest practical improvements
• Follow up on outstanding information and tasks
• Manage and maintain stationery stock and place orders when required

• Matric / Grade 12 – essential
• Relevant Payroll, HR, Accounting or related qualification will be advantageous
• Minimum 5 years' practical payroll experience – essential
• Proven experience processing both weekly and monthly payrolls – essential
• Strong hands-on experience using Sage 300 Payroll – essential
• Previous HR administration experience
• Experience with time and attendance systems
• Experience with payroll reconciliations and reporting
• Good understanding of South African payroll requirements
• Strong Microsoft Office skills, particularly Excel
• Experience handling confidential employee information
