Front Office Manager

SUMMARY:
The role serves as the operational hub for visitors, employees and external stakeholders and ensures that all front-of-house and related administrative services operate efficiently, professionally and in accordance with 4Racing''s service standards.

POSITION INFO:

To manage and continuously improve the Company''s Front Office operations by delivering professional, welcoming and efficient stakeholder experiences while ensuring effective coordination of reception services, meeting facilities, office administration, corporate events, facilities support and office resources.

 Front Office Operations and Customer Experience

• Leads the day-to-day operations of the Corporate Front Office
• Ensures that reception areas consistently project a professional corporate image
• Manages all visitor interactions as t4Racing’s first point of contact
• Ensures that exceptional customer service is delivered to employees, clients, racing stakeholders, suppliers, regulatory bodies and visitors
• Resolves stakeholder complaints professionally and promptly
• Coordinates visitor access with approved security procedures
• Ensures that all incoming calls are answered professionally, promptly and efficiently
• Monitors the performance of the reception and proactively improves service delivery
• Manages meeting room bookings and scheduling
• Coordinates VIP visits and executive guest requirements
• Ensures that all communication reflects the 4Racing brand and values

Office Administration and Corporate Support Services

• Coordinates all corporate reception administration requirements
• Manages meeting room diaries and booking systems
• Coordinates boardroom readiness
• Arranges refreshments and hospitality services as requested
• Coordinates courier collections and deliveries
• Manages incoming and outgoing correspondence
• Coordinates logistics documentation including waybills
• Maintains office records and filing system
• Coordinates internal communications where required
• Supports executive and departmental administrative requirements
• Coordinates company functions and corporate events
• Ensures effective communication between internal departments

Facilities Coordination and Office Environment

• Coordinates office facilities to ensure a safe, professional and functional workplace
• Monitors the cleanliness and presentation of reception areas, boardrooms, kitchens and ablution facilities
• Liaises with cleaning contractors
• Coordinates maintenance requests
• Follows up on repairs until completion
• Monitors office furniture and equipment
• Coordinates office moves where required
• Manage office consumables including:
  • Ø Stationery
  • Ø Kitchen supplies
  • Ø PPE
  • Ø Cleaning materials
• Maintains stock levels
• Ensures that corporate branding standards are maintained throughout reception areas
