FINANCE ADMINISTRATOR / JUNIOR BOOKKEEPER

SUMMARY:
Company situated in Alrode urgently seeking a Finance Administrator / Junior Bookkeeper for a 6 month contract with possibility of going permanent.

POSITION INFO:

To provide comprehensive accounting and financial administration support across Debtors, Creditors, Cashbook and General Ledger functions, ensuring accurate processing of financial transactions, timely payments and collections, account reconciliations, credit control and compliance with company procedures.

Key Responsibilities

Debtors / Customer Accounts

• Monitor customer credit accounts and outstanding balances.
• Manage debtor collections, including following up on overdue accounts.
• Prepare customer debtors reports and expected receipts for cash-flow forecasting.
• Issue customer statements, invoices, tax invoices and supporting documentation.
• Process new customer account applications and credit limit increases.
• Conduct credit checks and trade reference checks.
• Liaise with customers regarding invoice, payment and account queries.
• Process customer payments and credit notes on SYSPRO.
• Release customer orders held in suspense, subject to the required approvals.
• Provide customers with PODs and other supporting documentation when required.
• Maintain accurate electronic and hard-copy filing.

Creditors – Local & Foreign

• Process and capture supplier invoices and credit notes accurately.
• Verify invoices, approvals and supporting documentation.
• Process local and foreign supplier payments.
• Perform weekly and monthly supplier reconciliations.
• Obtain and reconcile supplier statements.
• Maintain supplier schedules and payment forecasts.
• Follow up on outstanding supplier queries and ensure accounts remain up to date.
• Ensure payments are processed accurately and within agreed deadlines.
• Work with both Rand and US Dollar transactions.
• Process purchase orders, receipting and invoice postings.
• Maintain accurate creditor records and documentation.

Foreign Creditors / International Payments

• Manage overseas supplier schedules, reconciliations and payment records.
• Process and record international supplier payments.
• Liaise with banks regarding overseas payments, documentation and queries.
• Maintain FEC, deal registers, SWIFT confirmations and supporting customs documentation.
• Verify overseas supplier statements against company records.
• Manage queries relating to overseas invoices, payments and reconciliations.
• Ensure all required documentation is maintained for international transactions.

Cashbook & General Ledger

• Process cashbook transactions affecting debtors, creditors and the general ledger.
• Process general ledger entries and ensure accurate allocation of transactions.
• Assist with reconciliations and maintaining accurate financial records.

Import / Shipping Finance Administration

• Check clearing agent and shipment documentation for accuracy and discrepancies.
• Review additional charges, detention fees, turn-in fees and other shipment-related costs.
• Assist with Landed Cost Tracking (LCT) when required.
• Review and interpret overseas shipment documentation.
• Verify LCT documentation for completeness, accuracy and validity.
• Link GRNs and supplier invoices to the relevant overseas shipment documentation.

Systems & Administration

• SYSPRO experience for customer, supplier and financial transaction processing.
• Maintain accurate electronic and physical financial records.
• Ensure all financial documentation is properly filed and readily accessible.
• Comply with company policies, procedures and Quality Management System requirements.
• Assist with month-end financial administration and reporting.

Key Requirements

• Relevant Accounting / Finance qualification or equivalent experience.
• Previous experience in Debtors and Creditors.
• Strong understanding of accounting processes and reconciliations.
• Experience with local and foreign currency transactions.
• Experience processing supplier and customer payments.
• Strong Excel and accounting systems knowledge; SYSPRO experience would be advantageous.
• Experience with import/shipping documentation would be beneficial.
• Strong attention to detail and accuracy.
• Excellent organisational and follow-up skills.
• Ability to work independently and meet deadlines.
