POSITION INFO:

Position: Accounts Payable Clerk

1. Job Purpose

The Accounts Payable Clerk is responsible for the accurate and timely processing of supplier invoices and payments, ensuring adherence to internal controls and maintaining positive supplier relationships.

2. Key Responsibilities

2.1 Invoice Processing

• Receive, verify, and capture supplier invoices
• Perform three-way matching (purchase order, goods received note, invoice)
• Ensure correct coding and authorization of invoices

2.2 Payment Processing

• Prepare supplier payment runs in accordance with payment terms
• Ensure all payments are properly approved

2.3 Supplier Management

• Respond to supplier queries and resolve discrepancies
• Build and maintain professional supplier relationships

2.4 Reconciliations

• Perform monthly supplier statement reconciliations
• Investigate and resolve variances or missing transactions

2.5 Compliance and Controls

• Ensure adherence to company policies and procedures
• Prevent duplicate, incorrect, or fraudulent payments
• Maintain accurate supporting documentation for all transactions

2.6 Reporting

• Prepare accounts payable aging reports
• Assist with cash flow planning by providing payment forecasts
• Highlight overdue or disputed invoices to management

3. Minimum Requirements

Diploma or Degree in Accounting, Finance, or related field
1–3 years’ experience in accounts payable or similar role in a financial services environment
Experience with accounting systems (Xero); Basic Microsoft Excel skills

4. Competencies

• Good organizational and administrative skills
• Ability to follow processes and procedures
• Effective communication skills
• Ability to work under pressure and meet deadlines

5. Reporting Line

Reports to: Senior Account > Finance Manager
