POSITION INFO:

  Professional Front Desk & Interaction

Ensuring the Reception area is neat and tidy first thing in the morning and through-out the day (i.e.  Open curtains, put music on, tidy up the couches, flower arrangements up to Livewell standard)

Overseeing the general neatness of the reception area and lounges and public ablutions and other meeting/function areas

Greeting and welcoming all visitors in a friendly and warm manner, ensuring that they are comfortable, feel welcomed and acknowledged

  Announcing visitors/guests who have appointments, to the relevant staff members in a professional manner

  Coordinating access control at the front doors with regards to visitors and residents

  Managing the sign-in and sign-out system for guests and residents

  Professional interaction with any potential candidates applying for positions at the Livewell Estate, and adhering to the HR protocols in place (if and when applicable)

  Reporting any quality control concerns to relevant departments and record in handover book

  Receiving and distributing newspapers to all residents and lounges as per arrangement

Managing of post and documentation received, completing the admin register to record all incoming post received and distributed, ensuring it is delivered to the correct department

Telephone and email

  Answering calls in a timely and courteous manner and provide information on all caller enquiries

  Taking clear and accurate messages and conveying such messages to the correct recipient timeously

  Redirecting all incoming telephone calls 

  Ensuring email messages are done timeously, professional with correct information

Attending to sales calls as per enquiry sheet  

Manage lounge / meeting bookings and set-up

  Managing the bookings of the lounges and meeting areas efficiently and communicate to all relevant departments in a professional manner

  Managing the set-up of lounge and/or meeting areas timeously and communicating any catering needs

Ensuring that these areas are cleaned up after each meeting has been completed

Administration, reporting and records 

  Assisting with other duties or admin which may be reasonably required to be performed from management

  Completing the handover book and ensuring accurate recording of issues for the day/ hand over to next shift

  Completing any other checklists, reports, registers, as and when required

Performing any clerical receptionist duties such as filing, photocopying, binding, faxing, etc.

ESSENTIAL

●      Secondary Qualification:  Matric Certificate

●      Tertiary Qualification: Advantageous but not required

●      Language Professional Proficiency (read, write & speak): English

●      At least 1 year’s relevant receptionist experience in a service-related industry

●      Excellent telephone etiquette

●      Understanding and operating of a switchboard

●      Excellent verbal communication and interaction with clients and visitors

●      Understanding safety measurements

Clean criminal record

Must live in the Helderberg area as the jon is in Somerset West.

Must be fluent in Afrikaans

Desired:

●      Diploma or tertiary education but not a must.

●      Course in dementia

●      Third language beneficial
