Property Adminstrator

SUMMARY:
Our client is a well-established property management company located in the heart of Cape Town’s CBD. They are known for their excellence in managing mixed-use, student accommodation, retail, and commercial portfolios, with a strong focus on tenant relationships, financial accuracy, and administrative excellence.

They are currently seeking a skilled and experienced Property Administrator to handle the full spectrum of lease and tenant administration, arrears management, and property operations.

POSITION INFO:
Role Purpose
To perform the full administrative function in lease preparation, tenant account management, and arrears control, while providing professional support to both tenants and internal teams.

Key Responsibilities
Tenant Administration

• Load and maintain tenant records on PIMS & Rise systems
• Allocate receipts, process meter readings, generate interest and statements
• Perform manual billings, recoveries, debit runs, and reconciliations
• Finalize vacated tenant accounts and process deposit/credit refunds
• Handle tenant turnover documentation and queries

• Perform credit checks and obtain FICA documentation
• Prepare Lease Input Summaries and update lease register
• Raise and update leases on internal systems
• Manage annual rates and municipal increase adjustments
• Collaborate with leasing team on all lease-related matters

• Follow up on outstanding payments daily
• Maintain and update arrears reports
• Follow internal arrears collection procedures
• Prepare legal handovers when required
• Utilize credit control platforms (e.g. TPN)

• Maintain property/unit data on systems
• Notify utility providers of tenant changes and monthly accruals
• Manage parking schedules and access control updates
• Reconcile municipal invoices and compile management reports
• Support general admin tasks and document control

• Matric (Grade 12)
• Relevant diploma or certificate in Property Management or Finance
• Minimum 5 years’ experience in property administration and financial accounting
• Background in property leasing and customer service
• Advanced proficiency in MS Office, PIMS, and/or MDA software

• Excellent verbal and written communication
• Strong time management and organisational skills
• High attention to detail and numerical accuracy
• Knowledge of sectional title and body corporate administration (advantageous)
• Problem-solving mindset with the ability to follow structured processes
• Customer service orientated with a professional, energetic attitude
• Ability to work under pressure and meet deadlines
• Willingness to occasionally assist outside of standard office hours
