POSITION INFO:

Requirements:

• Minimum of 3 years of experience in a physical stores/warehouse function.

• Proven track record of high-volume data capturing and transaction processing.

• Demonstrated experience with physical inventory management (receiving, dispatching, and stock takes).

• Strong experience in stock reconciliation and variance investigation.

• Systems: Extensive, hands-on experience using Sage X3 (non-negotiable).

• Physical Capability: Must be physically fit and able to do heavy lifting associated with physical stores and stock management.

• Education: Grade 12 / Matric certificate. A basic qualification in Bookkeeping, Accounting, or Supply Chain/Logistics is highly advantageous.

• Knowledge: A solid, basic accounting knowledge of how inventory processes flow and integrate into the broader finance function.

Experience:

Stock Control & Processing

• Accurately process daily stock issues and receipts within the ERP system.

• Monitor and manage stock control systems, proactively identifying re-order points to prevent stockouts or over-purchasing.

• Open and manage Sales Orders (SOs) / Service Orders (SONs) accurately.

• Support physical stores functions, including receiving, storing, packing, and moving inventory.

Reconciliation, Auditing & Investigation

• Perform comprehensive weekly checking and auditing of all system processing.

• Conduct robust stock reconciliations to maintain inventory integrity.

• Investigate and resolve stock variances, tracking down root causes and implementing corrective actions.

• Liaise with the finance department to ensure all procurement data integrates accurately with basic accounting principles and general ledger codes.

Administration & Quality Control

• Maintain meticulous digital and physical records of all procurement transactions.

• Provide administrative support to the procurement and finance teams.

• Ensure compliance with internal inventory control and safety policies

Knowledge & Skills:

• Analytical Thinking: Exceptional investigation and query-resolution skills to untangle stock and system discrepancies.

• Attention to Detail: Highly focused, precise, and meticulous—someone who catches the small errors before they become big issues.

• Administrative Excellence: Highly organized with a strong administrative orientation.

• Communication: Clear verbal and written communication skills to effectively collaborate with warehouse staff, procurement teams, and finance personnel.
