Personal Assistant to CFO

SUMMARY:
Executive Assistant to C-Suite Executives | Finance & Marketing Support | Project Coordination

POSITION INFO:

• Provide comprehensive executive support to the CFO and Marketing Director, managing complex diaries, meetings, and travel arrangements.
• Coordinate confidential board packs, reports, presentations, and meeting minutes for executive and board-level meetings.
• Prepare and analyse financial reports, spreadsheets, and management information to support business decision-making.
• Assist with accounts administration, including reconciliations, invoicing, expense management, and financial record keeping.
• Create professional reports, dashboards, and presentations using Microsoft Excel, Word, PowerPoint, and other digital tools.
• Manage executive correspondence, emails, and confidential documentation with a high level of discretion.
• Coordinate personal and executive matters, including birthdays, gifts, special occasions, reservations, appointments, and other personal administrative requirements.
• Organise corporate events, executive meetings, conferences, and stakeholder engagements.
• Liaise with internal departments, suppliers, clients, and external stakeholders on behalf of senior executives.
• Maintain accurate filing systems, records, and company documentation in both electronic and hard-copy formats.
• Monitor deadlines, follow up on action items, and ensure projects are completed within agreed timeframes.
• Support marketing administration, campaign coordination, and executive projects where required.
• Produce board-level reports and presentations, ensuring accuracy and attention to detail.
• Leverage AI-powered tools and modern technology to improve productivity, automate administrative processes, and enhance reporting efficiency.
• Demonstrate advanced computer proficiency, including Microsoft Excel (advanced spreadsheets), Word, PowerPoint, Outlook, Teams, and cloud-based collaboration platforms.
• Identify opportunities to improve administrative processes, reporting systems, and operational efficiency.
