Job Description

• Strategic Diary Management: Own and optimize a complex, fluid calendar to protect the CEO/MD’s time and prioritize high-value business goals.
• Inbox Management: Review, filter, and prioritize incoming emails, drafting responses and ensuring critical matters are escalated immediately.
• Gatekeeping & Liaison: Serve as the professional, primary point of contact for leadership.
• Travel Planning: Coordinate end-to-end domestic and international travel, including detailed itineraries and logistics.
• Meeting Prep & Notes: Compile agendas, brief the CEO/MD ahead of key meetings, and capture accurate minutes with clear action items.
• High-Level Correspondence: Draft and polish professional communications, executive presentations.
• Project Tracking: Monitor key company deliverables, follow up with department heads, and ensure executive initiatives stay on schedule.
• Expense Reports & Budgeting: Manage corporate credit card reconciliations, process expense reports, and monitor the relevant budgets.
• Document Management: Maintain absolute confidentiality while organizing, archiving, and retrieving sensitive private company records.

• Five or more years of experience supporting top corporate executives.
• A background working within financial services or a professional corporate sector.
• Excellent skills in Microsoft Office tools like Outlook, Word, and Excel.
• Clear and professional verbal and written communication skills in English.
• Strong organizational skills and the ability to manage your time well.
• A positive, helpful attitude with a strong respect for business confidentiality.
• Any relevant office administration diploma or business certificate is highly welcome.
