ADMINISTRATION ASSISTANT

An Administration Assistant play a major role in day-to-day administrative tasks and overall success of their place of employment. They work under the guidance of upper management to guide employees and shape office operations to fit the company’s vision and goals.

Depending on the size and hierarchy of the company, Administration Assistant may concentrate more on daily administrative work, budget concerns and company policies.

Competency:

• Minimum of 5 years’ experience
• Accounting program knowledge
• Fully Computer literate (Microsoft Office)
• Excel proficient
• Exceptional organizational ability and multitasking skills
• Flexible enough to adapt to changing office needs and to-do lists
• Strong written and verbal communication skills:
  • professional presentations
  • reports
  • phone calls
  • emails
  • Willingness to collaborate with other employees and suppliers
  • Understanding of common office software and programs.
  • Attention to detail
  • Excellent communication skills
  • Financial acumen to manage office expenses

Critical Outcomes

• Request quotes for incoming client requests from suppliers and follow up
• Process quotes and obtain approvals
• Evaluate quotes from administrator and obtain approvals
• Send quotes to clients after obtaining approvals
• Follow up with clients on quotes sent
• Compile and print job cards for PO’s received
• Issue job cards during daily morning meeting
• Helpdesk mails manage and action
• Aware of status of administrator functions and ensure productive processing and that processes are kept up to date
• Filing is kept up to date
• Groceries and stationary management
• General office management
