SUMMARY:
Seeking a highly organised and proactive Project Administrator to join our Operations team. This vital role ensures projects are accurately managed, tracked, and delivered on time, within budget, and to our high standards.

POSITION INFO:

Coordinate between multiple departments, manage documentation, expedite procurement, and maintain client communication throughout the project lifecycle.

Key Responsibilities:

Create and manage project records in the ERP and project management systems.
Accurately generate and track Bills of Materials (BOMs), Job Instructions, Assembly Instructions, and Order Confirmations.
Manage picking slips, place purchase orders for project components, and expedite deliveries.
Monitor and follow up on production milestones, drawing office deliverables, and supplier lead times.
Maintain up-to-date project data and reporting tools, tracking special requirements and deadlines.
Prepare weekly status updates for assigned clients and proactively communicate any delays or challenges.
Support accurate project documentation filing, maintain ISO-compliant records, and manage project files.
Schedule and minute internal production and management meetings, client kick-off meetings, and
inspections.
Liaise with expeditors, document control, and logistics to ensure smooth handover from production to dispatch.
Support the Operations Team in resolving production schedule issues and interdepartmental bottlenecks.

Core Competencies & Abilities:

Minimum 2–3 years'' experience in project administration, production coordination, or operations support.
Strong attention to detail and organizational skills.
Ability to manage multiple deadlines and priorities simultaneously.
Proficient with ERP and project management systems.
Proficient with Outlook, Word and Excel.
Excellent written and verbal communication skills.
Ability to work both independently and as part of a collaborative team.
Knowledge of ISO 9001 document control procedures is beneficial.

Qualifications:

Relevant diploma or certificate in Administration, Project Management, Operations Management, or a related field (advantageous).
