SUMMARY:
Ensure seamless order processing, accurate customer invoicing, and stock fulfillment for an established commercial group, supporting high-volume sales administration and Sage Evolution workflows.

POSITION INFO:
An established, fast-growing commercial organization is seeking a detail-driven, organized Ordering Clerk to join their active Sales and Administration team. This position is custom-built for an efficient administrative professional who excels at handling high-volume customer orders, maintaining accurate system data, and keeping delivery schedules running on time.

Operating at the vital intersection of customer service, sales administration, and inventory logistics, you will take direct ownership of purchase order processing, order tracking, invoice generation, and customer query resolution. Key Responsibilities:

• Order Processing & Data Entry: Receive, verify, and capture customer purchase orders onto the internal administrative system with high precision.
• Inventory Control & Internal Liaison: Monitor stock levels in real time, liaising with warehouse, production, and logistics teams to confirm stock availability and fulfillment schedules.
• Customer Communication & Query Resolution: Keep clients updated on order status, delivery timelines, and pricing queries while resolving order discrepancies, returns, or exchanges efficiently.
• Documentation & Quality Control: Perform pre-dispatch quality checks on processed orders and generate essential documentation, including commercial invoices, credit notes, and packing slips.
• Sales Support & Reporting: Assist the broader sales team with inventory inquiries and generate routine sales, order tracking, and stock reports for management review.

• Formal Education: Completed Matric / Grade 12 or equivalent qualification.
• Administrative Track Record: Proven prior experience working in an ordering clerk, sales administration, or high-volume order processing role.
• Systems & Computer Competencies:
  
  • Strong computer literacy with proficiency in Microsoft Office (Excel, Word, Outlook).
  • Practical experience operating on Sage Evolution software is highly advantageous.
