Operational Administration Assistant

A well-established property development and management organisation is seeking a detail-oriented and highly organised Operational Administration Assistant to join its operations team.

This role is ideal for an administrative professional who thrives in a structured environment, enjoys managing documentation and stakeholder communications, and takes pride in maintaining accurate records and efficient administrative processes.

• Scan, file, and maintain property-related documentation, including transfer documents, handover documentation, building drawings, and certificates.

• Prepare and coordinate courier collections and documentation for property transfers and regulatory submissions.

• Ensure all property management and building-related records remain accurate, complete, and up to date.

• Assist with municipal applications and related administrative processes.

• Issue standard communications to attorneys, property owners, and managing agents regarding registrations, transfers, and property handovers.

• Prepare and distribute property handover documentation.

• Maintain electronic and physical filing systems.

• Provide general administrative support to the operations team.

• Liaise professionally with internal and external stakeholders.

• Assist with ad hoc administrative projects as required.

• Minimum Grade 12 qualification.

• Previous experience in an administrative, property administration, or office support role.

• Strong document management, filing, and record-keeping skills.

• Excellent organisational skills with high attention to detail.

• Strong written and verbal communication abilities.

• Proficiency in Microsoft Office, particularly Outlook, Word, and Excel.

• Ability to manage multiple tasks and meet deadlines.

• Professional, reliable, and able to work independently.
