SUMMARY:
A Well - Established Company in Sandton seeks a Office Administrator /PA

POSITION INFO:

Key Responsibilities

• Operate the switchboard, screen calls and direct enquiries appropriately.
• Professionally welcome and assist visitors.
• Provide general administrative support to various departments, including scheduling appointments and arranging meetings.
• Coordinate local and international travel, including flights, accommodation, visas, medicals and travel requirements.
• Manage document control, including scanning, filing, archiving and maintaining electronic and physical records.
• Process customer and supplier documentation, including vendor registrations, credit applications, BEE certificates and compliance documentation.
• Maintain contract files, waybills, PODs and related documentation, ensuring information is correctly captured and filed.
• Complete information and documentation requirements for tenders and contracts.
• Capture GRVs, stock requisitions, stock-take information and other administrative data on Excel.
• Monitor stationery and office supplies and maintain appropriate stock levels.
• Obtain freight and transport quotations and assist with coordinating international supplier shipments.
• Track foreign supplier orders, consolidations and ETAs.
• Assist with databook scanning, system capturing and filing.
• Download and update time-and-attendance information.
• Provide general document control support via email and relevant systems.
• Assist with property and facilities administration and ensure queries are resolved timeously.
• Coordinate servicing and maintenance of office equipment and report faults.
• Assist with weekly Google Ads administration and job advert requirements.
• Provide general administrative and operational support as required.

Minimum Requirements

• Matric / Grade 12.
• 2–4 years' experience in an office administration, office coordination or similar role.
• Strong computer literacy, particularly Microsoft Excel and MS Office.
• Previous experience with document control, filing and electronic record management.
• Strong administrative and organisational skills with excellent attention to detail.
• Professional telephone and customer service skills.
• Experience coordinating travel arrangements would be advantageous.
• Exposure to supplier/customer documentation, freight or logistics administration would be advantageous.
• Ability to manage multiple tasks, meet deadlines and work independently.
• Professional, presentable and confident when dealing with customers, suppliers and internal stakeholders.
• Excellent written and verbal communication skills.
