Pepperclub Hotel is recruiting a professional, dependable, and guest-focused Night Receptionist to join our Front Office team. This role is responsible for ensuring exceptional guest service and smooth front office operations throughout the night. The successful candidate will be calm under pressure, highly organised, and committed to delivering the highest standards of hospitality while maintaining the safety, security, and integrity of hotel operations overnight.

As the Night Receptionist, you will be the primary point of contact for guests during the night shift. You will manage late arrivals, early departures, guest enquiries, and overnight front desk operations while supporting the Night Auditor and ensuring seamless communication between departments. Your role is essential in maintaining the hotel's reputation for exceptional service 24 hours a day, while living our RAISE values of Responsibility, Accountability, Integrity, Service, and Excellence.

• Deliver warm, professional, and personalised service to all overnight guests.

• Manage late check-ins, early check-outs, and guest enquiries efficiently.

• Respond promptly to guest requests and resolve concerns with professionalism.

• Ensure VIP arrivals, special requests, and guest preferences are actioned and communicated.

• Maintain Pepperclub's five-star service standards throughout the night.

• Process arrivals, departures, reservations, billing, and payments accurately.

• Maintain accurate guest profiles, registration cards, and overnight documentation.

• Assist the Night Auditor with operational and reporting requirements where needed.

• Complete guest ledger checks and identify outstanding balances or payment discrepancies.

• Prepare detailed handover notes to ensure continuity for the morning Front Office team.

• Liaise closely with Housekeeping, Security, Maintenance, and Hotel Management throughout the shift.

• Communicate room readiness, guest requests, incidents, and operational updates clearly.

• Record all overnight activity in guest communication logs and shift reports.

• Support overnight operational requirements and assist with unexpected situations as required.

• Maintain a clean, organised, and welcoming front desk and lobby area.

• Ensure all guest-facing equipment and materials remain in excellent condition.

• Monitor the presentation of the reception area throughout the night.

• Complete all overnight checklists before the end of the shift.

• Conduct scheduled property walks and security inspections.

• Monitor lobby activity and maintain a safe environment for guests and employees.

• Respond appropriately to emergencies, disturbances, or security concerns.

• Report all incidents accurately and coordinate with Security or emergency services where required.

• Assist in enforcing hotel safety procedures and quiet hours.

• Take ownership of overnight responsibilities and shift deliverables.

• Act with integrity and discretion in all guest, operational, and financial matters.

• Work collaboratively with colleagues across departments to ensure seamless 24-hour operations.

• Demonstrate professionalism, accountability, and service excellence in every interaction.

• Grade 12 / Matric (Hospitality qualification advantageous).

• Minimum 1 year Front Office, Guest Relations, or Night Reception experience in a 4 to 5-star hotel.

• Working knowledge of Opera or similar Property Management Systems.

• Understanding of night audit support processes, guest billing, and financial controls.

• Strong communication and guest service skills.

• Cash handling and billing experience.

• Computer literacy including MS Office and Excel.

• High attention to detail and administrative accuracy.

• Ability to work independently with minimal supervision.

• Ability to remain calm under pressure and respond effectively to emergencies.

• Flexibility to work overnight shifts, weekends, and public holidays.
