POSITION INFO:

Role Overview

We are looking for a highly organised and detail-focused individual to provide administrative support to the office and legal teams, with a particular focus on client onboarding and the preparation of Terms of Engagement (TOE) documents.

The role will involve preparing TOE documents across a variety of legal matters, including property, litigation, family law, immigration and other areas of legal work. The successful candidate will be responsible for ensuring that client and matter details are accurately reflected in the relevant documentation and that the onboarding process is completed efficiently.

The role will also involve creating and issuing client ID links for clients to provide the information and documentation required to progress their matter.

Key Responsibilities

Terms of Engagement

• Assist the Operations team and monitor the support inbox by preparing Terms of Engagement documents for new and existing clients.
• Prepare TOE documents across a range of legal practice areas, including:
• Property
• Litigation
• Employment
• Family Law
• Immigration Law
• Other legal matters as required
• Accurately input and check client and matter information, including:
• Client/company name and contact details
• Residential or correspondence address
• Nature and scope of the legal work
• Agreed fees and/or fee arrangements
• Relevant matter details
• Other information required for the specific engagement
• Ensure the correct information is included in the appropriate TOE template for each type of legal matter.
• Check completed documents carefully for accuracy, consistency and completeness before they are issued.
• Liaise with fee earners and the office administration team to clarify missing or incomplete information.
• Ensure TOE documents are prepared and issued promptly in accordance with internal procedures.

Client Onboarding & ID Checks

• Create and issue client ID links for new clients.

Skills & Experience

The successful candidate will ideally have:

• Previous experience in an administrative, legal administrative or professional services environment.
• Strong attention to detail and a high level of accuracy.
• Excellent organisational and time-management skills.
• The ability to work with multiple matters and deadlines simultaneously.
• Strong written and verbal communication skills.
• Good IT skills and confidence using Microsoft Office and document management systems.
• The ability to learn and work with different templates, systems and processes.
• The ability to handle sensitive and confidential client information appropriately.
