Legal Compliance Administrator

POSITION INFO:

Role Overview

We are seeking a proactive and detail-oriented Legal Compliance Administrator to support the firm's client onboarding and matter opening processes. The successful candidate will ensure that all compliance requirements are completed, recorded, and approved before legal work commences.

Key Responsibilities

Monitor a dedicated inbox for notifications of newly opened matters and respond promptly.
Review matter instructions to identify and initiate required compliance and onboarding actions.
Issue and track requests relating to Terms of Engagement (TOE), Customer Due Diligence (CDD), Know Your Customer (KYC), and Source of Funds (SOF).
Send compliance requests and system-generated links to Members and clients efficiently and professionally.
Track the completion of compliance checks, following up on any outstanding requirements in a timely manner.
Upload completed compliance documentation accurately to the relevant matter files.
Submit all onboarding documentation to Members for thorough review and sign-off.
Ensure all necessary checks and approvals are fully completed before legal work commences on any matter.
Generate and distribute fortnightly reports highlighting outstanding Terms of Engagement and compliance checks.
Engage with relevant Members to resolve any outstanding items promptly and effectively.
Maintain precise records and audit trails in accordance with regulatory standards and firm policies.
Escalate any compliance concerns or delays to the appropriate parties where necessary.

Experience

Experience within a legal, compliance, or professional services environment.
Knowledge of AML, KYC, CDD, and Source of Funds procedures.
Experience using legal case management or compliance systems.
