Finance and Procurement Administrator

SUMMARY:
Our client, a private school near Table Bay has an opportunity available
for a Finance and Procurement Administrator to join their team on a 3  month contract. We are looking for an immediately available candidate to
join the team in October and complete the contract till the end of
December.

POSITION INFO:
Qualification required:

• BCom/ BCompt or a 3-year Financial / Procurement Diploma.

• Experience with following Head Office procurement processes would be advantageous
• Ability to multitask and keep up with a fast paced environment
• Strong administrative and reporting skills
• Experience on SharePoint would be advantageous 
• Strong excel skills
• Ability to work under tight deadlines
• Minimum of 3 years’ experience in a similar role
• Excellent communication with parents and pupils

• Ensure compliance with financial processes, procedures, policies and internal control requirements
• Provide administrative support to campus bursars, school principals, staff and brand finance
• Assist with finance admin projects or tasks as and when required
• Procurement reconciliations
• Plan and schedule procurement, aligned to school requirements and deliverables
• Track and manage the schools procurement requests from receipt of request to payment of supplier
• Assist credit controller with any parent files required in preparing pre-legal files
• Update Budget Tracker
• Submit procurement requests daily on the centralised procurement portal
• Provide the correct General Ledger / procurement category for all requests and the correct fixed asset group for fixed assets
• Ensure that detailed information is submitted to procurement for all requests
• Upload approved Capex quotes and applications on the procurement portal
• Load new vendor applications and update existing vendor changes on Sharepoint
• Follow up on all purchase orders older than 24 hours which have not been approved and confirmed
• Upload formal delivery notes, fully completed goods received templates or confirmation of service received on the procurement portal for all purchase orders
• Account payable queries to be reviewed daily and resolved timeously
• Assist in resolving procurement agent queries within 24 hours
• Assist with payments
