Accounts Payable Clerk

The Accounts Payable Clerk at The Royal Portfolio is responsible for the accurate and timely processing of supplier invoices across multiple legal entities within Microsoft Dynamics 365 Business Central, ensuring healthy supplier relationships and supporting month-end close across the group. This ensures that we can continue to deliver on our company purpose, which is "to give our guests a complete experience and a perfect stay".

MAIN DUTIES & RESPONSIBILITIES

• Invoice Processing -- Receive, verify, and post supplier invoices in Business Central, ensuring each is correctly matched against purchase orders and delivery notes.

• Multi-Entity Management -- Confidently navigate and work across multiple Business Central company environments, applying the correct processes and controls in each entity.

• Supplier Reconciliation -- Perform monthly statement reconciliations for small holding/sundry suppliers, resolving discrepancies and unallocated items promptly.

• Payments -- Prepare payment run proposals, generate remittance advices, and maintain accurate vendor banking and master data.

• Month-End Support -- Assist with month-end close activities across all entities, including clearing outstanding documents and posting accruals.

• Reporting -- Run and analyse aged creditor reports, flagging overdue balances to prevent late payment penalties.

• Compliance & Record Keeping -- Maintain organised, audit-ready records and ensure VAT/tax compliance on all processed invoices.

• Communication -- Liaise professionally with suppliers and internal stakeholders to resolve queries accurately and timeously.

• Continuous Improvement -- Identify process inefficiencies and contribute ideas to improve the efficiency of the AP function.

REQUIREMENTS, QUALIFICATIONS & EXPECTATIONS

• Matric / Grade 12 with Accounting as a subject (essential).

• A Certificate or Diploma in Accounting, Bookkeeping, or Finance (NQF Level 4–6 or equivalent).

• 1–3 years' practical experience in an accounts payable or creditors role.

• Working knowledge of Microsoft Dynamics 365 Business Central or a similar ERP system (Sage, SAP, Pastel); multi-company experience is a strong advantage.

• Proficiency in Microsoft Excel, including VLOOKUP, pivot tables, and basic formulas.

• Excellent attention to detail, accuracy, and organisational skills.

• Good written and verbal communication skills.

• A trustworthy, honest individual who can responsibly handle sensitive financial data.

• A proactive team player who is able to manage competing priorities across multiple entities under pressure.

• A tertiary qualification in Financial Accounting or a BCom is advantageous, as is exposure to VAT reconciliation and SARS e-filing.

It is important that the candidate is able to work as part of a team and is a good cultural fit for The Royal Portfolio. South African citizenship is advantageous. A valid work permit is essential if you are not in possession of a South African ID document. Please note it is a condition of employment, that all staff undergo a pre-employment polygraph test.
