Tender Administrator (Construction) - Sandton

SUMMARY:
Our client in the construction industry is seeking to employ a Tender Administrator to join their team based in Sandton.

The successful candidate will provide administrative and coordination support throughout the tender preparation and submission process, working primarily on private-sector tenders with occasional government tenders.

Work hours :  07h00 to 16h30 Monday to Friday
In office role based at Fourways head office.

POSITION INFO:
Requirements:

• Matric is non-negotiable.
• A Quantity Surveying qualification will be advantageous.
• Previous experience in tender administration, construction administration, estimating support or a similar role will be advantageous.
• A valid driver’s licence is required.
• Strong administrative and organisational skills.
• Excellent written and verbal communication skills.
• Experience with tender documentation and compliance requirements.
• Ability to manage multiple tender submissions and strict deadlines.
• Strong attention to detail and accuracy.
• Experience working with BOQs and tender documentation.
• Ability to liaise professionally with clients, subcontractors and internal teams.
• Proficiency in Microsoft Excel and relevant electronic systems.
• Experience with CCS or similar estimating/tender software will be advantageous.
• Ability to work under pressure and meet deadlines.
• Strong record-keeping and document management skills.
• Ability to work independently while following guidance from senior leadership.

• Ensure tender documentation is complete and compliant.
• Manage tender-related email correspondence and client liaison.
• Assist with BOQ completion and tender preparation.
• Source relevant tender opportunities.
• Request quotations from subcontractors and ensure pricing is received within required deadlines.
• Transfer CCS files to the adjudicator, export information to Excel and distribute documentation to subcontractors.
• Obtain adequate subcontractor quotations within tender deadlines.
• Capture quotations received onto CCS.
• Negotiate with subcontractors for competitive pricing where possible.
• Submit tenders via various online platforms.
• Peruse and review bid documents.
• Attend site briefings and clarification meetings when required.
• Attend to tender-related queries.
• Provide administrative and coordination support to the estimator.
• Regularly update electronic systems with tender documents, compliance information and received quotations.
• Prepare tender reports and maintain accurate records.
• Follow instructions and guidance from senior leadership team members.
• Distribute important tender information to all relevant personnel.
• Create and maintain tender preparation schedules for the company’s four divisions.
• Arrange for the delivery of tender documents where required.
• Verify that all pre-qualification requirements have been fully met.
• Ensure tender submissions are accurately prepared and submitted within stipulated deadlines.
• Maintain organised records of tender correspondence, quotations and supporting documentation.
