Temporary Staffing Training Supervisor
POSITION INFO:
Requirements:
- Valid driver’s license and own reliable vehicle (mandatory)
- Willingness to travel extensively to client sites
- Strong administrative and organizational skills
- Excellent communication skills
- Ability to work under pressure and meet deadlines
- Basic understanding of labour laws (training will be provided)
Duties:
1. Client Relationship & Service Delivery
- Act as the primary point of contact between the company and assigned clients.
- Attend client sites regularly to:
- Assess staffing requirements
- Resolve operational issues
- Ensure service delivery standards are met
- Respond promptly to client requests for additional staff or replacements.
- Maintain professional communication and ensure all client interactions are:
- Documented
- Confirmed via email
- Properly recorded for liability protection
2. Talent Pool & Workforce Planning
- Build, maintain, and continuously update a ready-to-deploy talent pool.
- Ensure availability of backup staff for all positions.
- Anticipate client needs and ensure staffing continuity at all times.
- Replace non-performing or absent staff immediately.
3. Recruitment & Selection
- Post job advertisements across relevant platforms.
- Source, shortlist, and screen candidates.
- Conduct first-level interviews.
- Coordinate and schedule second interviews with clients.
- Accompany candidates to client sites where required.
- Ensure successful onboarding or provide immediate replacements if unsuccessful.

6. Timekeeping, Payroll & Invoicing Process
- Collect and verify employee timesheets from client sites.
- Ensure accuracy of hours worked in coordination with clients.
- Capture timesheets correctly and submit to Office Manager.
- Confirm payroll data is processed accurately before finalization.
- Ensure smooth handover to Accounts Department for client invoicing.
- Distribute payslips to employees timeously.
7. Employee Relations & Support
- Handle all employee queries, including:
- Pay discrepancies
- Work-related concerns
- Resolve payroll issues efficiently.
- Assist employees with:
- Loan applications and declines
- Provident fund queries
- Maintain strong communication with all placed employees.
8. Site Supervision & Workforce Management
- Conduct regular site visits using own vehicle (fuel reimbursed as per company policy).
- Monitor:
- Employee performance
- Attendance and punctuality
- Compliance with client standards
- Ensure all employees are performing duties correctly.
9. Absenteeism & Attendance Management
- Monitor attendance daily.
- On a quarterly basis:
- Obtain biometric attendance reports from clients
- Identify absenteeism trends
- Issue warnings to employees breaching attendance policies.
- Maintain proper disciplinary records.
10. Disciplinary Management
- Handle all disciplinary matters, including:
- Verbal warnings
- Written warnings
- Escalations
- Ensure disciplinary procedures follow company policy and labour legislation.
- Maintain full documentation for all disciplinary actions.
11. Reporting & Documentation
- Maintain accurate records of:
- Client interactions
- Employee performance
- Disciplinary actions
- Payroll and attendance
- Submit regular reports to management.
- Escalate unresolved issues to the Branch Manager or Director.
12. Communication & Escalation
- Seek guidance from management when uncertain.
- Ensure no critical decision is made without proper authorization when required.
