Shipping Administrator - Woodmead

POSITION INFO:

To coordinate and manage all export and import shipping activities, ensuring the efficient movement of goods while maintaining compliance with legislative requirements, customer expectations, and company procedures. The role supports the supply chain through effective logistics coordination, supplier liaison, documentation management, and administration.

Export and Process Management 

• Coordinate all export and import shipments from order to final delivery.
• Prepare and issue shipping instructions to freight forwarders and shipping agents.
• Track shipments and proactively manage delays or issues.
  Arrange inspections, export documentation and required certificates.
• Book imported stock into the system following costing approval.
• Process freight and logistics service provider invoices for payment.
• Ensure compliance with all import/export legislation and company procedures.
• Maintain accurate shipping documentation and electronic filing systems.

Logistics Administration and Coordination 

• Maintain and update export/import schedules.
• Coordinate shipment activities between internal departments, suppliers and customers.
• Distribute shipment updates and relevant logistics information.
• Ensure accurate administration and document management.
• Maintain effective communication with sales teams and customers regarding shipment status

Supplier and Logistics Management

• Negotiate competitive freight and transport rates.
• Identify alternative logistics solutions to optimise cost and service delivery.
• Build and maintain relationships with logistics service providers.
• Support supplier negotiations where required.
• Manage internal stakeholder relationships to ensure smooth logistics execution.

SHEQ and regulatory Compliance 

• Comply with all Health, Safety, Environmental and Quality requirements.
• Ensure adherence to company policies and procedures.
• Support internal and external audits.
• Maintain compliance with relevant legislative requirements.

Continuous Improvement 

• Identify opportunities to improve logistics processes and efficiencies.
• Assist in implementing process improvements.
• Contribute to reducing logistics costs while maintaining service levels.
• Recommend improvements to shipping and administration systems.
