POSITION INFO:
REQUIREMENTS

• Grade 12 / Matric
• Previous experience in a Receptionist, Switchboard Operator, Front Desk or Administrative role
• Previous experience operating a multi-line switchboard will be advantageous
• Excellent verbal and written communication skills
• Professional telephone etiquette
• Strong interpersonal and customer service skills
• Good organisational and administrative skills
• Computer literate, with proficiency in Microsoft Office
• Ability to work under pressure and manage multiple calls and requests simultaneously
• Professional appearance and manner
• Excellent attention to detail
• Ability to work independently as well as part of a team

• Manage and operate the nationwide company switchboard, answering and directing incoming calls to the appropriate departments or employees.
• Professionally and efficiently handle high volumes of incoming telephone calls.
• Take and relay messages accurately when employees are unavailable.
• Greet and welcome visitors to Head Office in a friendly and professional manner.
• Direct visitors to the relevant employee or department and ensure appropriate visitor procedures are followed.
• Provide general information to callers and visitors where appropriate.
• Maintain a professional, neat and welcoming reception area.
• Assist with general administrative and reception-related duties.
• Receive and distribute incoming mail, parcels and other deliveries.
• Assist with outgoing courier arrangements where required.
• Maintain accurate contact lists and ensure switchboard information is kept up to date.
• Assist with coordinating meeting room bookings and welcoming visitors attending meetings.
• Provide general administrative support to the Head Office team when required.
• Handle confidential and sensitive information with discretion.
• Escalate queries or calls to the appropriate department or employee when necessary.
• Maintain a high level of customer service and professionalism in all interactions.
• Perform any other reasonable duties related to the position.
