Property Administrator (Accounts Payable/Receivable/Leasing)

POSITION INFO:

PROPERTY ADMINISTRATOR (ACCOUNTS PAYABLE/RECEIVABLE/LEASING ADMIN) – EAST LONDON

REQUIREMENTS:

Matric (Grade 12) required; Tertiary Certificate in Finance/Accounting will be advantageous.

Minimum 2–3 years' experience as a Debtors Clerk/Accounts Receivable Clerk.

Proven Accounts Payable processing experience on SAGE (capturing/allocations, invoicing, statements, age analysis, customer account maintenance).

Strong debt collecting experience

Experience in property/building portfolio accounts (tenant billing and collections, arrears management, reconciliations) will be advantageous.

MDA (property management system) experience is preferential.

Sound understanding of credit control principles and internal controls.

Intermediate Excel skills (e.g., VLOOKUP/XLOOKUP, pivots, reconciliations)

RESPONSIBILITIES:

Accounts Payable

Responsible for accurate accounts payable and cashbook administration, including processing and posting transactions, reconciling bank and ledger balances, verifying invoices and system reports, allocating expenses to cost centres, and maintaining vendor records. Identify and resolve discrepancies, correct allocations, prevent duplicate entries, and ensure creditors are paid accurately and on time according to agreed payment terms.

Leasing Administration

Responsible for leasing administration, ensuring accurate tenant records, lease-based billing, and timely processing of receipts, adjustments, refunds, and account corrections. Verify rental invoices, statements, recoveries, and pre-billing reports; allocate and reconcile tenant payments; process ad hoc invoicing; and manage account terminations, ensuring outstanding arrears are collected or referred for legal recovery timeously.

Customer Liaison

Responsible for managing tenant rental collections, reconciling accounts, and ensuring timely payments through proactive follow-ups and payment arrangements. Maintain positive tenant relationships, resolve account queries and complaints within service-level agreements, update tenant records, enforce collection procedures, escalate problem accounts, and accurately record all collection activities.
