Personal Assistant /Office Administrator

SUMMARY:
We are seeking a highly organized, proactive, and resourceful Personal Assistant & Office Administrator to support the executive leadership and manage the day-to-day administrative operations of the office. This dual role requires someone who can handle sensitive information, multitask efficiently, and ensure the smooth running of both executive support functions and general office administration.

POSITION INFO:

Requirements 

• Matric (Grade 12) essential; relevant diploma or certificate in Office Administration / Secretarial Studies advantageous.
• Minimum 3 years’ experience in a similar PA or office administration role.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong organisational and time management skills.
• Excellent verbal and written communication skills.
• Ability to work independently and under pressure.
• High level of professionalism, discretion, and confidentiality.

• Manage the diary, appointments, and travel arrangements of the executive(s)
• Prepare meeting agendas, minutes, and follow-ups
• Assist with personal and business correspondence, presentations, and reports
• Maintain strict confidentiality and handle sensitive information with discretion
• Act as a point of contact between the executive and internal/external stakeholders
• Office Administration:
• Oversee general office operations and ensure a well-organized, efficient work environment
• Handle procurement and stock of office supplies, stationery, and refreshments
• Coordinate meetings, staff events, and internal communications
• Ensure all office equipment, systems, and infrastructure are functioning properly
• Liaise with service providers, vendors, and building management
• Maintain filing systems (physical and digital) and ensure data is well-organized and secure.
• Proven experience as a Personal Assistant, Executive Assistant, or Office Administrator
• Strong written and verbal communication skills
• Excellent organizational and multitasking abilities
• Tech-savvy: proficient in MS Office Suite, Google Workspace, and basic office tools
• Discretion and professionalism when handling sensitive matters
• High attention to detail, reliability, and ability to work independently.
