PA to the Investment Team (Team of 14) – Waterfront, Cape Town

Global Investment Firm is currently recruiting for highly organised, highly professional, energetic and diligent PA to provide proven PA administration and co-ordination support to their team of Investment Professionals.

One would describe you as having very strong communication skills (both verbal and written), as well as being a numerically inclined and tech savvy problem solver who carries themselves with integrity particularly in the areas of confidentiality and discretion.

You have high EQ levels as well as being highly adaptable with the ability to function with acute levels of attention to detail whilst remaining flexible to changes in priorities and last-minute requests that take place within a fast-paced environment.

Key Duties & Responsibilities include:

• Efficient and effective Diary Management and co-ordination of the Teams calendars

which includes setting up of meetings as well as any needed changes and / or important updates

• Respond to meeting requests, whether these are internal or external
• Set-up up of all monthly & bi-monthly meetings i.e., IC meetings, Client meetings, team meetings, REDF I & II Board Meetings; and MUIM Board Meetings
• Efficient preparation of the Board Meetings Report Packs
• Travel management and co-ordination for both local and international travel is timeously attended to with the Companies trave agent and is all kept within the travel budget policy which includes accommodation, car hire, visa’s, shuttle services, company apartments, forex requests, team building travel requests, etc.
• ravel Management Ensure that all local and international travel bookings are completed
• Ensuring that the office is informed specific whereabouts of the respective staff that are traveling
• Effective set up and co-ordination of the Broker Meetings as well as that all Broker Meeting are logged
• Assist with the collation of the Minute Taking – Enterprise Risk Meeting (Operational and Investment Risk)
• Ensuring effective signing and follow up’s where needed for Deal sheets; Resolutions; Agreements and various contracts on behalf of PM’s
• Ensure professional Client / Shareholder liaison, communicating on behalf of the PM’s and directors. Ensuring that any requests made have been met. Working closely with consultants and directors of various entities and ensuring all shareholder certificates are in place.
• Work closely with other PA’s in the business to collaborate client meetings held in office and / or attend to any travel administration requests that occur due to these meetings being held
• Ensure that all members’ requests are met timeously and regular feedback provided
• Arrange meeting venue’s when needed which includes venue confirmation as well as any other amenities as and when requested
• Assist with the drafting of reports and / or presentation and / or editing of such
• Ensure that an update on expense management in the needed area (s) is done in a timeous manner

Qualification, Skills & Experience required:

• Minimum of Matric and ideally a related tertiary qualification
• 8-10 Years relevant PA experience gained in supporting a high-level team of professionals ideally within the financial services or investment or asset management or management consulting / advisory and / or renewable energy and / or any corporate services environment.
• Proven proficiency in MS Office, in particular with MS Excel (formula’s) and MS Powerpoint (presentations)
• Strong research skills with the ability to conduct research to support decisions or prepare reports and presentations.
• Valid driver’s license and own reliable transport
