SUMMARY:
Operations Assistant required to manage the administration and logistical planning for a global company within the oil, fuel and gas industry. They are based in Ballito.

JOB DESCRIPTION:

Requirements:

Matric Certificate.
Tertiary Qualification – Certificate/Diploma in Logistics and/or Logistics Management.
Have previous logistics experience or similar.

Knowledge and Skills:

Excellent attention to detail.
Ability to approach tasks in a logical and methodical manner.
Highly numerate and comfortable with data capture and data manipulation and presentation.
Knowledge of Microsoft Office application including Teams and a proficiency in Excel at an Intermediate Level.
Time and priority management skills.

Duties and Responsibilities:

Distribution of Supplier Nominations
Executing and following up on cross border clearing documents (important to ensure that our trucks do not incur standing time at the border).
Tanker Terminal order distribution and assignment.
Creating orders on the client portal.
Advising which Proof of Deliveries (POD’s) to follow up on once delivery has taken place (checking against scheduling).
Update ‘Orders to be Placed’ worksheet with details of our tankers that are loading within two days, then issue to transporter, update schedule, update operations sheet, update debtors’ sheet and update stock sheet.
Update ‘Orders to be Placed’ worksheet with nominations placed by contractual and CoC clients, then issue to clients, update operations Sheet, update Stock Sheet, update Debtors’ Sheet, update relevant clients upliftments sheet.
Send out Proforma Invoices (PFI’s) to clients as requested/ advised by them.
Cross check of operations daily ensuring delivery dates, Portal Reference number (SAP), updating clients of deliveries, communicating with transporters regarding breakdowns, standing time etc.)

General:

Office / General Administration.
Provide assistance to senior staff.
Implement the instructions of management in accordance with the Company's Levels of Authority
