A leading Property Development and Property Management Company is seeking a detail-oriented Lease Administrator to join its Asset Management team based in Pretoria.

About the Role

As the Lease Administrator, you will coordinate and administer the complete lease management process across a portfolio of retail properties.

Working closely with the Asset Manager, Property Managers and Leasing Team, you will ensure that lease documentation is prepared accurately, completed within prescribed timelines and maintained in accordance with company policies and legal requirements.

You will play a critical role in tenant onboarding, contractual billing, lease compliance and reporting while supporting the overall success of the property portfolio.

POSITION INFO:

Key Responsibilities

Lease Administration

Draft, prepare and issue commercial lease agreements using approved templates
Manage the full lease administration process from negotiation to finalisation
Coordinate new leases, renewals, cessions and exhibitions
Ensure lease documentation is signed and completed within required timeframes
Maintain accurate lease records and documentation
Manage lease documentation through DocuSign

Contractual Billing

Administer contractual billing including:
- Monthly Rental
- Tenant Deposits
- Bank Guarantees
- Insurance Recoveries
- Operating Cost Recoveries
- Soft Services Recoveries
Process annual CPI escalations
Calculate annual municipal rates increases
Calculate annual audited turnover rental
Process ad hoc tenant billing and adjustments
Submit letting commissions for payment

Tenant Administration

Load new tenants onto the Property Management System
Process lease renewals and amendments
Manage tenant onboarding
Coordinate tenant movements
Liaise with meter reading companies
Manage tenant correspondence

Lease Audits & Compliance

Conduct regular lease audits
Audit tenancy schedules against approved plans
Maintain accurate lease records
Safeguard original lease agreements
Maintain secure storage of bank guarantees
Ensure compliance with company procedures

Reporting

Prepare regular reports on:

Unsigned lease agreements
Lease expiries
Expired leases
Letting activity
Leasing status
Outstanding turnover certificates
Letting commissions
Lease renewals

General Administration

Support the Asset Management team
Assist Property Managers
Maintain filing systems
Update property management records
Assist with ad hoc departmental projects
Ensure compliance with company policies and procedures

Minimum Requirements

Grade 12 (Matric)
Minimum 2 years' experience in Commercial Property Lease Administration
Sound understanding of Commercial Lease Agreements
Experience within the Commercial or Retail Property industry
Advanced Microsoft Office skills, particularly Excel
Experience using MRI Property Billing System (advantageous)
DocuSign experience (advantageous)
Excellent administration skills
Strong attention to detail
Excellent communication skills
Ability to manage multiple priorities
Bilingual (advantageous)
