About the Position

A wellâestablished law practice in Northcliff is seeking a Litigation Secretary who will support its litigation department. The successful candidate will be responsible for managing workflows in both High Court and Magistrates’ Court litigation, drafting and preparing legal documentation, and assisting with general administration. The role requires diligence, strong organisational skills, and strict adherence to confidentiality and legal procedure.

Key Requirements

Proven experience in both High Court and Magistrates’ Court litigation is essential.
Knowledge of CIPC processes and Deceased Estates will be beneficial, although not mandatory.
Office administration experience will be advantageous.
Must meet the general competencies of a litigation secretary, including excellent drafting and formatting skills, ability to manage deadlines, good communication, discretion, and reliability.

Core Duties & Responsibilities

Draft, format, and type legal documents (pleadings, notices, affidavits, contracts, correspondence) from dictation, handwritten notes, or electronic copy.
Manage all litigation processes in High Court and Magistrates’ Court: issuing, serving, filing of documents.
Prepare, index, and collate briefs, trial bundles, and appeal records for counsel.
Maintain and organise both physical and electronic filing systems.
Manage diaryâscheduling: court dates, consultations, meetings.
Liaise with clients, counsel, sheriffs, and court officials with professionalism.
Ensure deadlines are met and that court rules and procedures are complied with.
Open and maintain client files; ensure indexing and accurate recordâkeeping.
Assist with general office administration when required (e.g. switchboard relief, stationery management).
Support billing, timesheet tracking, and basic accounts administration as needed.
Maintain confidentiality in all record keeping and dealings with client information.
