A well-established chemical manufacturing company based in Pinetown is looking for a Junior HR & Payroll Administrator to join their HR team urgently.

The successful candidate will be responsible for providing HR administration and payroll support, with a strong focus on accurate payroll processing, employee records, attendance management and general HR administration.

POSITION INFO:

KEY RESPONSIBILITIES

• Process and administer weekly payroll and assist with monthly payroll for approximately 180 employees.
• Handle end-to-end payroll processing, including payroll inputs, attendance, overtime, leave and employee changes.
• Capture, verify and reconcile payroll information accurately and within deadlines.
• Maintain and update the Sage 300 People payroll system.
• Process and manage payroll-related documentation, including payslips, IRP5s, provident fund information and statutory submissions.
• Reconcile third-party payments, including provident fund, union memberships, garnishees and employee loans.
• Assist with EMP201, EMP501 and Stats SA submissions.
• Assist with onboarding and offboarding payroll administration.

• Maintain and administer the company's Beyond Attendance time and attendance system.
• Load and remove employee information and ensure employee details are correctly synced with facial recognition.
• Monitor attendance and absenteeism and report discrepancies to management.
• Verify and correct clocking information where required.
• Assist employees with attendance-related queries.

• Maintain accurate and up-to-date employee files, both electronic and manual.
• Assist with HR documentation, filing, scanning, archiving and document control.
• Maintain employee registers, contact lists, birthday registers and HR schedules.
• Assist with disciplinary, probation and performance administration, including scheduling meetings and taking minutes.
• Assist with recruitment administration, including job advertisements, applications, interview scheduling and background checks.
• Assist with onboarding and offboarding processes.
• Provide general HR administrative support to the HR department.

• Assist with arranging internal and external training.
• Maintain training schedules and training matrices.
• Track compliance training such as forklift and dangerous goods training.
• Assist with learnership and apprenticeship administration, including CHIETA-related documentation.

• Assist with IOD administration and related documentation.
• Maintain medical assessment records.
• Assist with SETA, Employment Equity and UIF/UI19 administration.
• Provide support with HR reports, audits and compliance documentation.

MINIMUM REQUIREMENTS

• Grade 12 / Matric.
• Diploma or Degree in Human Resource Management.
• 1–2 years' experience using Sage 300 People / Sage Employee Self Service – essential.
• Practical end-to-end payroll processing experience – essential.
• Experience working with a Time & Attendance system – essential; experience with Beyond Attendance will be highly advantageous.
• Previous experience within a payroll department or similar HR & Payroll Administration role.
• Payroll certificate/diploma will be advantageous.
• Good understanding of SARS, UIF and WCA processes and online systems.
• Knowledge of Bargaining Council and Provident Fund procedures.
• Strong Excel skills, with intermediate to advanced Microsoft Excel proficiency.
• Proficiency in Microsoft Office 365.
• Fluent in isiZulu, both written and verbal – essential.
