SUMMARY:
Durban based Safety equipment supplier seeks an Internal Sales Administrator as a point of contact for customers, for queries about products, orders, and deliveries as well as liaise with the warehouse for dispatch.
The position provides vital support to the External Sales Team and distribution channel and is expected to ensure he/she stays up to date with all new products released.

JOB DESCRIPTION:

Requirements

3-5 previous Internal Exports/Sales experience, within a strong administration, which included Sports & marketing coordination skills;
SAP & Microsoft office – Outlook/Excel/Word

Duties include:

Receive/ process customer telephonic and email orders on SAP. Export orders to be sent to relevant teams in Europe
Work closely with the Warehouse team and distribution to ensure timeous delivery of
orders;
Liaise with customers regards quotations, orders, product availability/information, pricing, as well as complaints and queries;
Follow up on back orders monitoring the estimated time of arrival of stock and advise customers accordingly;
Identify sales leads and escalate them to external sales staff;
Orders from overseas - follow up if payment received and availability for dispatch;
Africa clients requests - supplies quote/s & pro-forma invoices for cash sales;
Provide support for external sales team;
Handle and manage /resolve of all distributor queries/issues;
Follow up with customers identified with slow-moving stock to try and increase sales;
Raise Proforma invoices for cash sale customers;
Manage all export documentation for Forwarding and Customs;
Check with finance controller on cash payments received for cash sales/outstanding cash payments;
Inform and update customers on the status of orders;
Assist finance and follow-up with outstanding payment when customers place an order/issue invoice when requested by Distributors,etc;
Prepare samples received from external staff for dispatch to distributors;
Management of set accounts plus cash sales;
1Update Hearing report for Director – Finance & Operations, to check and circulate;
Generate sales update report;
Update exception letters;
Update backorder report;
Process manual quotes for moulded earplugs and laservision specs;
Draft Africa Flash reports and send to Manager Dubai, for updates in order Director Finance can check and distribute;
Update and send out the Africa Export Summary on a monthly basis;
Maintain a RSA Sales spreadsheet for exports - including cash sales;
Maintain a RSA Industrial sports orders report;
Provide backup support to Internal Sales whenever needed;
