Location: Fully Remote (with initial in-person handover sessions in the Kalk Bay / Western Cape area)

Working Hours: Monday to Friday, 08:00 – 17:00

Opportunity Overview

We are seeking a capable, hands-on Finance & Business Operations Manager on behalf of a well-established, project-based company in the construction and renovation sector. This key operational role takes full ownership of day-to-day financial administration, payroll coordination for approximately 60 employees, business reporting, and direct executive administrative support. Working closely with internal project teams, foremen, suppliers, and external accountants, you will manage competing priorities, investigate discrepancies, and drive operational improvements across the business.

Key Responsibilities

• Financial Administration & Cash Flow: Maintain accurate revenue, expense, and supplier records. Track client receipts, coordinate outstanding invoicing, monitor amounts awaiting payment, and prepare bank payments for final approval. Perform monthly reconciliations with the external accounting team.
• Payroll Coordination: Manage internal payroll preparation and coordination for ~60 employees as well as management payroll. Gather wage adjustments, cross-check attendance with site foremen, and coordinate final processing with external payroll accountants.
• Supplier & Project Cost Control: Obtain supplier quotations, verify invoices against project estimates alongside project managers/quantity surveyors, and apply approval guidelines. Research alternative suppliers to improve purchasing value.
• Business Reporting & Planning: Maintain core operational spreadsheets and business dashboards. Assess the affordability of proposed hires or vehicle purchases, calculate required revenue targets for new costs, and identify process improvements.
• Systems & Record Keeping: Maintain orderly electronic records (via Hubdoc and Google Workspace). Manage recurring deadlines and leverage Excel, ChatGPT, and AI-assisted workflows to ensure efficient operations.
• Executive Support: Provide ad-hoc administrative support to executive leadership, including handling select personal financial matters, bond administration, and support for future development ventures.

Requirements & Capabilities

• Financial Experience: Proven track record of independently managing financial administration and monthly reconciliations.
• Payroll Knowledge: Practical experience preparing or coordinating internal payroll.
• Tech & Spreadsheet Savvy: Advanced spreadsheet skills (Excel/Google Sheets) and confidence using (and verifying) AI-assisted admin workflows.
• Business Acumen: Ability to analyze costs, assess cash-flow implications, and determine business decision affordability.
• Communication & Discretion: Clear, professional communication across all levels (site staff, executive management, suppliers, and external accountants) with utmost discretion regarding sensitive data.
• Self-Driven: High level of autonomy, attention to detail, and persistent follow-through in a remote environment.

Advantageous Experience

• Experience in construction, renovation, property development, or project-based industries.
• Familiarity with Hubdoc, Google Workspace, and workflow automation tools.
• Background in supplier/subcontractor account administration or process optimization in owner-managed businesses.
