FINANCIAL OPERATIONS ADMINISTRATOR

SUMMARY:
The Financial Operations Administrator provides operational support within the Operations function.

A well established and prominent financial institution is seeking to hire a Financial Operations Administrator.

The role will assist the Head of Operations to ensure

• Timeous and accurate completion of routine administrative and operational tasks.
• Support for continuity and operational resilience by reliably handling repeatable, first-line processes.
• Segregation of duties is maintained, with preparatory work reviewed, checked, and released by senior team members.
• A solid operational foundation is built to support the candidate's growth into a more senior operations role over time.

Responsibilities:

Transaction Processing & Settlement Support

• Assist with the preparation and capturing of trade instructions.
• Support daily bulk operations processing.
• Assist with capturing model portfolio instructions and income distribution data for review.
• Preparation of fund ballots and mergers and testing.

Reconciliation Support

• Assist with the preparation of daily and monthly bank account reconciliations and perform initial reconciliations.
• Support AvL reconciliation data-gathering and initial identification of exceptions and escalating issues to the Head of Operations.
• Maintain reconciliation working papers and records in accordance with internal controls and audit requirements.
• Liaise with stakeholders to resolve discrepancies.

Payment Processing Support

• Assist with preparing adviser, administration and tax payment batches for review and authorisation.
• Support the preparation of client withdrawal and premium documentation, ensuring required information is complete before submission for approval.
• Maintain accurate payment records in accordance with internal controls and audit requirements.

Regulatory & Tax Reporting Support

• Assist with gathering and organising information required for regulatory and tax reports.
• Support the preparation of data for annual and interim tax certificates (IT3a, IT3b, IT3c, IT3s, IT3f, IRP5) under supervision.
• Assist with basic CRS/FATCA data preparation tasks.
• Help respond to routine, non-complex tax-related queries, escalating more complex queries to the Head of Operations.

System Enhancements & Operational Risk Support

• Participate in the testing of system enhancements, platform upgrades, and new product implementations, as directed.
• Identify and report potential operational risks or processing errors promptly to the Head of Operations
• Assist with maintaining and updating documented standard operating procedures (SOPs) for recurring processes.

Operational & Administrative Support

• Respond to routine operational queries from internal teams, advisers, and clients within agreed service levels, escalating more complex queries.
• Provide general administrative support to the Head of Operations.
• Assist with liaison to third-party service providers, custodians, and vendors under guidance.
