POSITION INFO:
Job Title: Executive Secretary
Location: Illovo - Johannesburg
Salary: Market related

Non- negotiable qualifications and experience required:

Matric / Grade 12 Certificate.
Professional Secretary or Executive Assistant certification (e.g., Executive PA Diploma, Chartered Secretary, or Professional Administrative Certification of Excellence (PACE)).
5 -10 years previous executive or administrative support experience.
Strong organizational and communication skills.
Professional demeanor and discretion.
Basic IT troubleshooting skills for Video Conferencing (VC) and office equipment)
Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
Attention to detail and ability to multi-task in a fast-paced environment.
Driver’s license and own transport.

Beneficial requirements:

Typing speed of 60-80 words per minute (advantageous).
Business Writing or Minute-Taking courses (advantageous).

Duties and responsibilities:

The ideal candidate will handle a wide range of administrative and office management tasks to ensure the smooth functioning of the MD’s office.

To coordinate & organize meetings. Take and maintain minutes of management meetings.
Type setting of documents for MD, preparation of presentations.
Collection of executed documents from different departments and timely dispatch.
Handling work, documents, and filing.
Follow up on tenders and liaise with the Tender Personnel.
Attend to visitors and organize refreshments for them.
Manage IT / VC related issues for MD.
Provide logistic support and follow up on day-to-day administrative issues.
Organize office stationery for MD.
Conduct basic office equipment maintenance for MD.
Maintain cleanliness of the office for MD.
