Executive Personal Assistant

 

Provide the Head of Product Development with day-to-day administrative support and assistance including the management of diary, email, meeting preparation and other administrative tasks (e.g. expense recons, travel). A secondary role is to provide administrative support to the PD manager group. The successful candidate will require the ability to interact at a senior level with people inside and outside of the business.

 

 

Responsibilities

-        Oversee and coordinate day-to day scheduling for the Head of PD organize, prioritize and follow up on multiple incoming issues and concerns for effective diary and email management on behalf of Head of PD

-        Pro-actively manage department events including the scheduling and coordination of team meetings (including the setup of conference calls where required)

-        Be proactive with scheduling feedback meetings (eg. monthly 1-on-1s, mid-year and year-end appraisals)

-        Interact with internal and external clients - verbally, in writing, and occasionally in person - in an appropriate and professional manner

-        Drive and coordinate team social initiatives (teambuilding, workshops) through the management and sourcing of relevant third parties / vendors, activities, and venues and manage team budgets (keep costs within budgets and negotiate corporate rates to keep costs at a minimum, whilst not compromising on quality)

-        Assist other PA’s while on leave if necessary

-        Assist with onboarding and offboarding of new and departing team members travel bookings for team reconcile expenses monthly, including credit card, ad-hoc invoices and travel.

-        Assist PD Mangers with meeting administration and scheduling

 

 

 

Skills & Qualification

 

A post matric qualification with at least 5-10 years of related work experience Proficiency with Business Central (invoicing) and Webexpenses (monthly credit card recons) would be advantageous

SALARY: R400 – R550 per annum
