Events Assistant

SUMMARY:
We are seeking a highly organized and enthusiastic Events Assistant to support the planning, coordination, and execution of events from start to finish. The ideal candidate is detail-oriented, proactive, and thrives in fast-paced environments. Working closely with the events team, vendors, and clients, the Events Assistant will help ensure each event runs smoothly and delivers an exceptional experience for all participants.

POSITION INFO:
Responsible for events management, coordination, and activations, liaising with internal and external stakeholders, and responsible for the brand representation.
· Basic writing skills for client documents
· General office administration, answering phones and filling
· Sourcing & shopping for projects we are working on
· Basic quotes, mood boards and learning of our online system Current.
· Assisting with keeping our website and stock catalogues updated
· Sourcing and visiting venues with organization
· Demonstrate an ability to pitch ideas and find creative angles
· Develop a positive working relationship with client and team members
· Effectively use and manage own time and demonstrate an understanding of the importance of deadlines
· Demonstrate effective time scheduling
· Develop familiarity with XL Events and support the company’s core values
· Strong, proficient in all Microsoft Office packages including Word, Excel, Power Point, Outlook
· Demonstrate proactive interaction and become secondary point of contact for client
· Assist with any design work

Event and activation opportunities unlocking
· Keep abreast of all brands relevant events and activation opportunities
· Connect with relevant industry players to identify opportunities
· Liaise with and conceptualize where relevant events and activation opportunities through micro-influencers

Event & Activation stakeholders liaising
· Liaise with all internal and external stakeholders to ensure the event requirements are agreed to and are feasible and approved prior to commitment
· Identify and manage what resources are required and if internal and/or external suppliers are required
· Communicate and confirm all event and activation executional plans to all stakeholders leading up to the event

Requirements:
· High school diploma or equivalent; a degree or certification in Event Management, Hospitality, Marketing, or a related field is a plus.
· Previous experience in event planning, administration, or customer service is preferred.
· Valid driver’s license may be required (depending on the role).
· Familiarity with social media or marketing tools (desirable, but not essential)
