CONVEYANCING SECRETARY

Location: Stellenbosch
Work Arrangement: Onsite
Salary: R40 000 – R45 000 CTC per month

Position Overview

An established legal practice is seeking an experienced Conveyancing Secretary to join its property team in Stellenbosch.
The successful candidate will have strong conveyancing secretarial experience, with particular exposure to Absa bond matters and property transfers. This is a hands-on role requiring excellent organisational skills, attention to detail and the ability to manage a portfolio of matters independently.

POSITION INFO:

Key Responsibilities

Attending to Absa bond instructions, including the preparation, checking and dispatch of documentation.
Managing bond cancellations and related conveyancing requirements.
Attending to property transfers and ancillary Deeds Office transactions.
Managing transfer matters from instruction through to completion.
Preparing and maintaining accurate conveyancing files, both electronic and hard copy.
Managing the administration of conveyancing matters, including Absa bond and transfer processes.
Attending to correspondent instructions and related conveyancing matters.
Assisting with the financial administration of conveyancing matters.
Liaising with clients, correspondents and relevant internal and external stakeholders.
Conducting property, person and company searches.
Managing and administering an allocated portfolio of conveyancing matters.
Completing and following up on FICA requirements.
Ensuring that filing systems and matter records remain accurate and up to date.
Working independently while ensuring that strict deadlines and quality standards are consistently met.

Minimum Requirements

Matric essential.
A legal secretary or conveyancing qualification would be advantageous.
8–10 years’ conveyancing experience, preferably within a busy property practice.
Previous Absa Bank experience is essential.
Strong experience in bonds and transfers.
Experience with township and sectional title developments would be advantageous.
Experience working across different banking platforms/sites would be advantageous.
Solid and stable conveyancing secretarial background.
Full working knowledge of Microsoft Office.

Working knowledge of conveyancing and related property systems, including:

Lexis Convey
Web Convey
Windeed
E4 / portal-based systems
Lotus Notes
