SUMMARY:
Bookings Coordinator / Administrator – Montague Gardens – R12,000 p/m

An established training and venue environment in Montague Gardens is looking for a highly organised, energetic and customer-focused Bookings Coordinator / Administrator to take ownership of bookings, customer communication and day-to-day venue administration. This is a busy, hands-on position suited to someone who enjoys dealing with people, can juggle multiple priorities and is confident making decisions and solving problems without needing constant supervision.

POSITION INFO:
Key Responsibilities

• Prepare customer quotations on SAGE.
• Follow up on quotations, outstanding payments and statements.
• Coordinate and capture bookings on the Outlook calendar.
• Schedule trainers according to bookings and training timetables.
• Send booking confirmations and training reminders to clients.
• Respond promptly and professionally to all emails and customer queries.
• Answer the switchboard and handle telephone enquiries.
• Provide excellent customer service telephonically, via email and in person.
• Assist with generating tax invoices when required.
• Maintain accurate booking and administrative records.
• Assist with stock takes and monitor office and venue consumables.
• Ensure the training venue is presentable, neat and ready for clients.
• Assist with the general day-to-day running of the venue.
• Type letters and other general correspondence.
• Place online advertisements on platforms such as Gumtree.
• Assist with marketing and promotional activities during quieter periods.
• Identify and resolve operational problems using initiative and sound judgement.
• Report problems, incidents or outstanding matters to management at the end of the day.
• Assist with other reasonable administrative and operational duties as required.
• Be available to deal with genuine emergency booking matters after hours when necessary.

• Previous administration, bookings, reception or customer service experience.
• Strong computer literacy.
• Working knowledge of Microsoft Outlook, Word and Excel.
• SAGE experience advantageous; training can be provided.
• Excellent verbal and written communication skills.
• Professional telephone manner and strong customer service skills.
• Presentable, friendly and confident when dealing with clients.
• Highly organised with excellent attention to detail.
• Strong time-management and multitasking ability.
• Able to work effectively under pressure during busy periods.
• Able to think on your feet and solve problems independently.
• Fast learner with a proactive, energetic approach.
• Honest, reliable and responsible.
• Comfortable taking ownership of the day-to-day administration of the venue.
• Ideally reside in Montague Gardens or surrounding areas.
• Own reliable transport would be advantageous.
• Non-smoker preferred.

• R12,000 gross per month
• PAYE and UIF deducted as applicable
